This article contains a list and summary of every UK release note published by Fourth during Q4 of 2025 (1st October to 31st December).

Workforce Management
- The new Employment Change Request Workflow is a rebranded and expanded version of the former Salary Request Workflow. Previously limited to updates for Locations, Divisions, Job Titles, and Salary, it now allows a broader range of employment changes with improved visibility into conflicts and resolutions. The workflow also now supports pay and employment changes for hourly employees
- The new Conflict Resolution feature helps manage overlapping changes in an employee’s career history, triggered by changes made in the Employment Details page. It ensures data integrity by flagging conflicts when multiple updates share overlapping effective dates. If a conflict occurs, users are directed to the Conflict Resolution page, which lists all related changes in chronological order for review
- This release provides a new setting that, when enabled, will allow the inclusion of rota data submitted whilst an employee was full or part-time to be included in the 52-week (or 12-week for Northern Ireland) flexible holiday calculations, used to calculate flexible holiday allowance and pay
New Release | Scheduling: Employee Breaks in Clock Records BI File | 07 Oct 2025
- The existing 'Clock Records' BI file exported from Scheduling will now include employee break times, helping customers with their compliance reporting on breaks and payment regulations
New Release | Scheduling: New Columns in Opening Times Upload File | 29 Oct 2025
- To prepare for changes to the existing 'Upload Opening Times' functionality, seven new 'OpeningTime2' columns have been added to the downloadable file templates. In a future release, this will be used to support multiple opening times for each day at a location (separate opening times for a restaurant and kitchen, for example)
New Release | Scheduling: Internal and External Shift Pooling Open Shift Costs | 29 Oct 2025
- Customers can now have costs for Open Shifts allocated to assigned divisions for reporting and TRONC. This is achieved by using the Display Departments Enabled setting at their location level
- When the Organisation setting Display young workers on schedule page is enabled, age-group tags (<16, 16-18, 18-21) will now appear next to employee names on the schedule. This gives instant visibility to managers and removes the need to open employee profiles to see their age
- When the Organisation setting Display Pay-Bandings is enabled, pay banding symbols will appear next to employee names on the schedule. As with young worker age groups, this gives managers instant visibility of this information, which shows whether employees are above or below the average pay rate for their job role at their location
- The appearance of holiday tags in the daily scheduling view now better aligns with the overall Scheduling theme, enhancing the visual consistency of the interface
- Selecting an employee's name now opens a new 'Summary' view, providing a detailed explanation of what the tooltips mean. Selecting View Full Information will then show a new detailed view that includes the employee ID and their assignments, offering deeper insights into employee details
- The HR module will feature a new integration with TrustID to simplify UK Right to Work checks, providing a more streamlined and compliant process for managing employee right-to-work requirements. This update allows employers to complete checks directly within the system, securely capture and store the TrustID responses and reports, and automatically record key details such as Right to Work types and work restrictions

Multiple Exemption Periods for Student Visa
Whether the Right to Work is completed manually or via TrustID, for employees on student visas, the system now supports multiple exemption periods (e.g. out-of-term times) instead of just one. Users can add several date ranges in the “Student Visa Details” section, and during these exemption periods, validation with Rota & Scheduling will warn users if the employee is scheduled to work more than the limitations
- The User Interface for the Statutory Parental Bereavement Leave pages has been updated, and whilst not applicable yet, two new fields have been added in preparation for the update to Statutory Parental Bereavement Leave & Pay legislation for Northern Ireland
New Release | Scheduling: Workload Allocation: Tooltip Placement Improved | 26 Nov 2025
- Based on customer feedback, we are moving the position of the tooltip on required workload allocation below workload allocation graphs. This will allow users to have clear visibility on the overall graph projection, even as they are inspecting the workload requirements for a specific day or time slot
New Release | HR UK: Right to Work Validation in Scheduling | 27 Nov 2025
- To ensure compliance, enhancements have been made to the Right to Work (RTW) validation within the Scheduling module. Employees without valid and in-date RTW details and rules (configured in the HR module) enforced in Scheduling will be prevented from being scheduled. This includes checks for expired RTW types, expired student visas, and student visa hour limits outside of exception periods. Additionally, if a TrustID response is held, the manual Right to Work section will automatically populate with a read-only TrustID type, regardless of status, to maintain accurate data
Purchase-to-Pay & Inventory
- The Bulk Edit Recipes workflow has been extended to include more category update operations. This will allow the addition, removal and swapping of categories for multiple recipe records in a single workflow
- Users will now have more precise information about their upcoming session expiration
- To support the IQ project for advanced forecasting, a new 'TrackAdvancedInsights' API property has been added to the XML responses. This new property is already returned in the JSON response
- Import API, GET /units, a new endpoint has been dded to this project to simplify integrations that use only the Import API project. This endpoint has been recreated within the Import API
- When an inbound XML file is transformed to CSV, it will not be processed if it contains characters that require escaping for the CSV format. These include quotation marks and commas. Where XML data is received that contains non-escaped characters, the document will not be processed, and the sender will be notified by email
New Release | Inventory: Showing Alternate Product Names when Ordering | 28 & 29 Oct 2025
- To make it easier to identify the right product to order, you can now select to see the alternate name rather than the parent name when ordering either in core Inventory or the Ordering app
New Release | Inventory: Ignoring PLUs, 'Key Item' Option | 18 & 19 Nov 2025
- It is now possible to mark PLUs from POS as 'Ignored' to prevent them from showing as 'missing' or 'unmatched'. This can be done individually at Location level from the 'Import POS Figures' screen or globally, via a Stock Admin setting. Ignoring a PLU will also prevent it from being included in an alert sent to the iQ app
- In the 'Update Products to Site' page, there is a new option called Key Item (currently non-functional). This is in preparation for a future release that will utilise 'key items' in data surfaced in the iQ app and Real-time Dashboard. Please look out for the forthcoming release note
New Release | Inventory: Redesigned Login Page | 18 & 19 Nov 2025
- The login page for Inventory has been given a fresh new look to align with other Fourth login pages
Important Notice | RME Ceasing Support for TLS Versions 1.0 and 1.1
- To comply with current security practices, Fourth will be ceasing support for Transport Layer Security (TLS) version 1.0 and 1.1 within Recipe and Menu Engineering (RME). Effective from November 20th, 2025, for APAC/NA and November 26th, 2025, for EMEA
