Overview
Market Lists are like mini catalogues that contain a selection of products from one or more vendors. They provide an easily accessible list of frequently ordered products, all in one place, which can help to save time when placing orders.
Management of Market Lists is often carried out at site level, either on the Ordering app or Fourth's Purchase to Pay product (formerly known as 'Trade Simple'), which allows users to create, manage, and optionally share "local" lists. However, it also possible for Head Office users to create and copy "read-only" Market Lists to one or more Location which they can then use (and/or copy "locally" to manage further).
Creating and Amending Market Lists at Head Office
Administrator users logged into the Purchase to Pay (Trade Simple) website can create a Market List from any supplier/vendor catalogue to which they have 'view' or 'view & order' access.
- Log in to Trade Simple
- To see all Head Office Market Lists, go to Catalogues > Market Lists
- From the bottom of the screen, select Create

- Provide a Name for Created Market List
- Select whether the new List will be shared with other Head Office users (Public) or not (Private)
- Overwrite existing market list can be ticked if an existing Head Office Market List has the same name as the new one and is to be replaced
- Choosing a Source allows the creation of an Empty Market List or one that is populated with all of the products (and categories, as labels) from a single vendor's complete catalogue
- Select Create

- The new Market List will then be available from Catalogues > Market Lists
- If its Status shows as 'requires update', wait a few seconds and reload the page
Products (from one or more vendor) can be added to the new List as follows:
- Browse or Search vendor catalogues to locate products
- Select a required product to view its details
- Use the drop-down menu and select the recently created Market List
- Then select Add to market list

The product will be added to the Market List immediately.
- Repeat the steps above to add further products to the Market List
- Go back to Catalogues > Market Lists and select the glasses button against the Market List to view it

Amending Market Lists
- Again, from Catalogues > Market Lists, select the spanner icon against the required Market List
- The product sequence can be changed by dragging and dropping products as required, or by using the cut and paste buttons
- A Custom Description can be entered if a 'nickname' is needed
- Products can be divided into groups by adding labels
- Users with 'view & order' access to the relevant catalogue at Head Office can also add Default Quantities (via the view icon)
- Select Save all changes once finished

Copying Market Lists to Other Locations
Basic ad hoc Copy
Any Head Office Market List can be copied to one or more other Locations.
- Go to Catalogues > Market Lists and select the copy button next to the required Market List

- Provide a Name for Copied Market Lists
- Chose whether to Copy Default Quantities? (if applicable)
- Use the Destination drop-down and select Selected Children
- Expand the hierarchy and tick the boxes for each required Location
- Select Copy to start the process

Please note: If the new List has the same name as an existing one at the destination, it will never replace it when copied in this way. A new List is always created.
The copied List will then be available as a "read-only" Market List in the Ordering app/Purchase to Pay at the selected Locations. Any changes to the original Head Office Market List will have no effect on this local copy.
Copying a Market List by Code
Any Head Office Market List with a code can be copied to one or more other Locations with a matching code. This can be done at any time or set up as an automated process.
Adding Code to Locations
- From Membership > My Business find the required Location
- Against the Location, select Manage and then Edit Details

- In the Marketlist Codes field, add a code (or codes, separated by a "¬" character)
- Select Save
- Repeat with additional Locations as required

Adding a Code to a Market List
- From Catalogues > Market Lists select the select the spanner icon against the required Market List
- Enter the same Code which was used for the Location(s) to associate this List with them
- Select Save all changes

Ad hoc Copy By Code
- Go to Catalogues > Market Lists and select the copy button next to the required Market List
- Provide a Name for Copied Market Lists
- Chose whether to Copy Default Quantities? (if applicable)
- Select Children with Matching Code
- Select Copy to start the process

Please note: If the new List has the same name as an existing one at the destination, it will never replace it when copied in this way. A new List is always created.
The copied List will then be available as a "read-only" Market List in the Ordering app/Purchase to Pay at the selected Locations. Any changes to the original Head Office Market List will have no effect on this local copy.
Automated Copy By Code
This must be activated for your organisation before it can be used - please contact Fourth for further information.
Each night, all active Market Lists with codes are automatically copied to all children Locations with matching codes. The 'copied down' Market Lists always replace the existing ones when copied in this way.
The copied List will then be available as a "read-only" Market List in the Ordering app/Purchase to Pay at the child Locations with matching codes. Any changes to the original Head Office Market List will be reflected in this local copy.
