HS Mobile Apps (Legacy): Picking Up, Releasing, and Swapping Shifts

Overview

HotSchedules makes it simple to Pickup, Release, and Swap shifts with coworkers. All of these features are available on the mobile apps. This article will cover how to use each of these features on both the iOS and Android mobile apps.

Please note: There are slight differences between the iOS and Android platforms. See the appropriate section for your platform.
 

Picking Up Shifts

Within the mobile app, the number of available shifts will display for each day on the My Schedule page. To pick up additional shifts, follow the steps for the appropriate platform below.

 

iOS

• Select the day and the daypart for the available shift

• Select the Pickup Shift button if you would like to request to work that shift
• You will be prompted to enter a pickup shift reason before submitting it to the managers for approval (Fig.4)
• Select Done

• If you need to cancel the shift pickup, follow the steps in Fig.1 and Fig.2, then select the Cancel Pickup button

Android

• Select the day and the daypart for the available shift

• Select the Pickup Shift button if you would like to request to work that shift
• You will be prompted to enter a pickup shift reason before submitting it to the managers for approval (Fig.9)
• Select the check icon

• If you need to cancel the shift pickup, follow the steps in Fig.6 and Fig.7, then select the Cancel Pickup

Releasing Shifts

All of your assigned shifts will display on the My Schedule page. To release a shift for another employee to pick up, follow the steps for the appropriate platform below.

iOS

• Select the day and the daypart for the available shift

• The next page will show the details of that shift, including which of your coworkers are also working during the shift
• Select Release This Shift (Fig.13)
• Choose whether you are releasing the entire shift or only a portion of the shift (if applicable) and select a Reason, then select Confirm (Fig.14)

• If you need to cancel the shift pickup, follow the steps in Fig.11 and Fig.12, then select the Cancel Release button

Android

• Select the day and daypart for the shift you would like to release

• The next page will show the details of that shift, including which of your coworkers are also working during the shift
• Select Release This Shift (Fig.18)
• Choose whether you are releasing the entire shift or only a portion of the shift (if applicable) and select a Reason, then select the check icon (Fig.19)

• A confirmation will prompt advising the shift will need to be picked up by another employee and approved by a manager before the shift will be removed from your schedule. This means you are still responsible for the shift until these actions have taken place (Fig.20)
• If you need to cancel the shift pickup, follow the steps in Fig.16 and Fig.17, then select the Cancel Release button (Fig.21)

Swapping Shifts

If you would like to try to trade shifts with a coworker, follow the steps for the appropriate platform below.

iOS

• Select the day and daypart for the shift you would like to swap

• Select Swap This Shift 
• Choose which coworker and shift you would like to swap for (Fig.25)

• Select a Reason and submit the request by selecting Done
• A confirmation will prompt advising the swap will need to be accepted by the other employee and approved by a manager before the shift swap will reflect on your schedule. This means you are still responsible for the original shift until these actions have taken place (Fig.27)

• If you need to cancel the shift swap, follow the steps in Fig.21 and Fig.22, then select the Cancel Swap button

Please note: The request is sent to your coworker, and if they accept it, a notification is sent to the managers, asking them to approve the swap.

Android

• Select the day and daypart for the shift you would like to swap

• Select Swap This Shift 
• Choose which coworker and shift you would like to swap for (Fig.32)

• Select a Reason and submit the request by selecting the check icon
• A confirmation will prompt advising the swap will need to be accepted by the other employee and approved by a manager before the shift swap will reflect on your schedule. This means you are still responsible for the original shift until these actions have taken place

• If you need to cancel the shift swap, follow the steps in Fig.21 and Fig.22, then select the Cancel Swap button
