This article contains a list and summary of every release note published by Fourth during Q2 of 2019 (28th March to 3rd July). Customers who are listed as 'Release Note Contact' will be able to view the release notes by using the links provided. To become a Release Note Contact, please speak to your Customer Success Manager (CSM).
Release notes are listed under the following headers:
Fourth Release Note: Reduction in Backup Period
To allow for an appropriate period after which Customers’ deleted data is permanently erased from Fourth’s systems, and in light of the General Data Protection Regulation 2016/679 (“GDPR”), the period for which Customer data is retained for in Fourth’s backup cycle is being reduced. From 1st April 2019, Fourth’s backup cycle will be reduced from a 13-month period to a 3-month period.
This change will result in the permanent deletion of archive copies of deleted Customer data after 3 months; this data will not be recoverable.
Proposed Release Date: The reduction in the backup cycle is intended to take effect from 1st April 2019. Any changes to this timeline will be communicated to our Customers separately.

Workforce Management
WFM Release Note: Back Pay for Additional Holiday Pay
A new global setting is being introduced that will allow customers to choose to include any additional payments that are in the current pay run within the additional holiday pay calculation.
Release date: 28th March 2019
Reason for the Change
To allow customers the flexibility of which 12 week period the additional holiday pay is calculated against.
The ability to prorate an employee’s pay based on full-time equivalent (FTE) for new starters, leavers, mid-period salary changes and final holiday pay.

Reason for the Change
Currently in HR & Payroll it is only possible to prorate an employee’s salary based on a working pattern of 260 or 365 days. However, not all salaried employees work a full working week. This change will remove the need to manually update these employees within the system.
A new permission will be added to the HR module in HR & Payroll to allow users who are using Fourth’s ATS module to gain access to the ATS app via Fourth Engage.

Reason for the Change
To allow access to Fourth ATS through the Fourth App, rather than having to go via an external link.
The ability to update the P45 Delivery Method on all employee records without having to go into each record individually.

Reason for the Change
Currently in HR & Payroll it is possible to update at company and pay basis level the P45 Delivery Method. However, this does not automatically change existing employee’s delivery methods within the pay basis. It can take a lot of manual effort for users to update these one by one, especially on large payrolls.
WFM Release Note: Prevent Duplicate Email Addresses
What’s Changing?
Ability to prevent duplicate personal email addresses being entered into the system for new and existing employees.
Release Date: 11th April 2019.
Reason for the Change
Currently in HR & Payroll it is possible to have the same personal email address recorded against different employees – most commonly a site email address rather than a unique personal one. Fourth’s single sign on, and other 3rd party integrations, require unique personal email addresses to authenticate users. Therefore more than one employee cannot have the same personal email address.
WFM Release Note - Labour Productivity: GDPR Data Retention Settings
What’s Changing?
Customisable retention periods have been applied to two separate categories of data within Labour Productivity. This is to allow for the deletion/anonymisation of employees’ data.
Reason for the Change
Personal data may only be processed in accordance with various principles, but in particular must be:
- Adequate, relevant and limited to what is necessary in relation to the purposes for which it is processed (‘data minimisation’); and
- Kept in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the personal data is processed; (‘storage limitation’).
Retention Periods will therefore be applied to specific categories of data in Labour Productivity. Details of these, as well as a brief description of the categories of data to which they apply, are set out in our Data Retention Policy (a link to which can be found in this article - GDPR Readiness - Briefing Note and on our website at www.fourth.com/agreements.
The default Retention Periods will only apply to employees who have already been terminated. The solution will apply default Retention Periods but each may be customised. For the deletion script to run, the relevant setting must be applied (see below for more details).
At the end of the selected retention period the services will result in the in the deletion/anonymisation of the relevant data. This will not be recoverable.
WFM Release Note - Labour Productivity: Daily Auto-Publish to My Schedule app
What’s Changing?
Functionality to automatically publish shifts from Labour Productivity to the My Schedule app on a daily occurrence.

To allow employees to see the most recently updated shifts in the My Schedule app.
WFM Release Note - Labour Productivity: Auto-Publish to My Schedule app 'X' Days Before
What’s Changing?
Functionality to automatically publish the Schedule to the My Schedule app X number of days before the week start date.

WFM Release Note - Labour Productivity: Flex Labour Budget
What’s Changing?
Functionality to apply flex % and display a Flex Labour Budget based on an increase or decrease of sales against a Sales Budget.

What’s Changing?

WFM Release Note - P60s: Displaying Employee Addresses
What’s Changing?
A new Global Setting that determines whether or not employees’ addresses appear on the pressure-sealed p60s.

WFM Release Note - Labour Productivity: Passive Shift Reason Codes
What’s Changing?
The ability to record a Passive Shift reason code against passive shifts.

WFM Release Note - Labour Productivity: I-9 Eligibility Verification
What’s Changing?
The ability to prevent employees being scheduled who have not completed I-9 Employee Eligibility Verification & Employee onboarding.

WFM Release Note - Labour Productivity: Budget Upload Enhancement
What’s Changing?
The ability to load HR & Payroll weekly sales and wage budget templates into Labour Productivity.
Release date: 8th May 2019.
Reason for the Change
This will allow customers to use one weekly labour budget or weekly sales budget template for loading budgets into both systems without the need to complete one for Labour Productivity and one for HR & Payroll.
WFM Release Note - Employee Batch Update Screen
Employee Batch Update screen will now allow the ability to search by the Reports To field.

Reason for the Change
To allow easier updating of Reports To for employees.
WFM Release Note - User Access to Fire Report
What’s Changing?
Users will only be able to access the Fire Report on the portal homepage if they have the access to do so.

Reason for the Change
To only allow authorised users access to the Fire Report.
What’s Changing?
New functionality which will display shifts loaded via template or last week’s schedule, which conflict with employees’ unavailability that has been recorded in the My Schedule app.

Reason for the Change
To show shifts that are conflicting when an employee has recorded unavailability, and to allow the end user to decide to schedule or remove the shift(s).
WFM Release Note - Labour Productivity: Removing Breaks from Schedule by Demand Graph
What’s Changing?
New functionality which will allow for scheduled breaks to be removed from the Schedule by Demand graph in the Labour Productivity module.

WFM Release Note - Labour Productivity: Managing User Levels
What’s Changing?
Introduction of new functionality that will allow customer admins to manage their own User Levels in Labour Productivity.

Customers will no longer have to request for Fourth to enable/disable User Level permissions, speeding up and simplifying the whole process.

Inventory Release Note: Change to Transfers Naming Conventions
What’s Changing?
A change to naming conventions within the Inventory UI.
Within the Stock Management module, the Cash Purchases option will be changed to Transfer to Account.

The phrase Transfer to Account more accurately represents the actions undertaken when using this functionality.
Inventory Release Note: Removal of Stock Period ID Filter from Stock Management Reports
What’s Changing?
The Stock Period Header ID filter has been removed for three reports that can be run from the Stock Management figures screen.

General Release Notes - Purchasing & Inventory 4_6_91
What’s Changing?
Fourth’s Purchasing & Inventory release 4.6.91 includes new functionality. Specifically:
- Show Quotation Errors tab where there are no errors but mismatched or unquoted items
- POS Fields now have a decimal type field
- Meaningful Punchout error message
- Quantity distribution between Multiple Outlets on the mobile app
- Closing inactive Purchasing & Inventory clients when launching app
- cXML invoicing

Reason for the Change
In the event that a Quotation is generated without errors but with mismatched or unquoted items, the user will be given the option to open the Quotation Errors page.
Decimal field types for custom POS fields allow users to input more accurate values.
Error messages raised when using the Punchout functionality previously did not display information that was helpful for the user.
In the event that a Delivery Note or Invoice for Multiple Outlet Order is received in the system, a message will be automatically forwarded to the Mobile Receiving app. The total received amount will be allocated to each outlet based on the ordered amounts and any outstanding amount will be added to the first outlet.
Closing inactive Purchasing & Inventory clients when launching a new instance of the app, means that no extra resources will be taken up on users' PCs.
cXML invoicing allows vendors who provide Punchout web sites to transmit invoices for such orders electronically.
General Release Notes - Purchasing & Inventory 4_6_92
What’s Changing?
Fourth’s Purchasing & Inventory release 4.6.92 includes new functionality. Specifically:
- Automated 3 Way Matching
- Managing Roles at CP
- Allow printing of Purchase Requisitions at Central Purchasing in Review Requisition
- AP Export Screen loads with 'From Date' defaulted to previous two months
Release Date: 6th (EMEA) / 9th May (USA) 2019
Reason for the Change
Enabling the option for Automated 3 Way Matching gives the ability for the system to automatically apply Invoices where the Invoice matches the received amounts and the total amount is within the price threshold plus the available “Rounding Rate”.
Managing Roles at CP will give the user the ability to maintain a master record for roles at CP and then share it with individual properties. This will provide easy definition and distribution of Roles across properties.
In the event that a user has access to review Purchase Requisitions and create a Purchase Order from Purchase Requisition they should also be able to “Print” from Review Requisition screen.
Pre-populating the "From Date" field in the AP Export screen speeds up the loading time.
General Release Notes - Purchasing & Inventory 4_6_93
Fourth’s Purchasing & Inventory release 4.6.93 includes new functionality. Specifically:
- Mobile Setup – download menu item for TC51
- All API access rights moved to separate menu option in User Groups
- Prevent non (CP) Groups from being synced
- Receiving App – Support for Add Line With Lookup

Reason for the Change
Mobile Setup – download menu item for TC51
With a new device made available and an update of existing mobile package to accommodate for it, “TC51” will be added to the Mobile Setup as a supported by Purchase to Pay & Inventory device.
All API access rights moved to separate menu option in User Groups
To accommodate for the raising amount of APIs and the need to have access right for them it was decided to move all API access rights to a separate menu option in User Groups.
Prevent non (CP) Groups from being synced
When synchronising User Groups between a property and a CP, users should be able to select only groups that are marked as (CP) for “CP controlled”.
Receiving App – Support for Add Line With Lookup
In the Receiving app, it was only possible to add new products. With this change it will be possible to ‘lookup’ existing products from the Product Catalogue which will hold existing products from Purchasing & Inventory.
Fourth Engage/Mobile apps
P2P&I Release Note: Counting app Storage on iOS Devices
What’s Changing?
A new version of the Fourth App (5.0) will be released to the Apple App Store, upgrading to this version will impact on-device storage for the Counting module when a count is “in-flight”. This release note affects iOS devices only.

A change in Apple’s support policy required upgrade of technology.
P2P&I Release Note: Ordering app 2.11.0
What’s Changing?
The visual design of the Ordering application is being changed to bring it into line with Fourth's other Purchase to Pay & Inventory (P2P&I) and Workforce Management (WFM) mobile apps, like ‘Counting’ and ‘My Schedule’.
Release date: 20th June 2019
Reason for the Change
To give users a more consistent experience, so they are able to easily navigate and operate any of the Fourth mobile apps.
