Overview
Create, edit, and move shifts directly from the Scheduling tab.
Note: Schedules can be viewed, edited, and posted up to 15 weeks ahead. Changes are saved immediately and are visible to other managers.
Create a Shift
Instead of the current mix of paragraphs and bullets, I'd make it a simple procedure.
To create a shift:
- Select an empty cell on the schedule.
- Create the shift using one of the following methods:
- Select the + icon.
- Double-click an empty cell in Classic View.
- Press the Spacebar while in Smart View.
- Enter the shift Start and End times.
- Select the Job, Location, and Schedule.
- Select Save.

Add Multiple Shifts
To add another shift for the same employee before saving:
- Select Add another shift.
- Repeat as needed.
- Select Save.

Edit a Shift
Instead of burying this in bullets.
To edit a shift:
- Double-click the existing shift.
- Update the shift information.
- Select Save.
Move a Shift
To move a shift:
- Select the shift.
- Drag it to another day or time.

Move a Shift in Smart View
In Smart View, drag either end of a shift to change its duration.

Shift Time Intervals
Note: Shift start and end times must match the schedule interval configured for your site. For example, if the interval is set to 15 minutes, shifts cannot begin at 11:05 or 11:10.
House Shifts
An unassigned shift in HotSchedules is called a house shift. See HS Scheduling: House Shifts for more information about creating, editing, and assigning house shifts!
Keyboard Shortcuts
Keyboard shortcuts will help you quickly do things like copy shifts, delete shifts, and undo changes. While you are on the Scheduling tab, press the ? key on your keyboard to view a list of all the shortcuts and an attribute guide to explain all the colored cells in the scheduler.
- S – Opens the Smart Select tool for House Shifts and reassignment.
- I – Insert a House Shift.
- H – Convert a shift to a House Shift.
- Delete – Delete a shift.
- Ctrl + Click – Select multiple shifts.
- T – Trade shifts.
- C – Copy.
- X – Cut.
- V – Paste.
- Z – Undo.
- Y – Redo.
