Update Static Availability & Threshold Breach Statement

HotSchedules has updated the static statements displayed when scheduling outside of employee availability or when breaching threshold limits. This update removes outdated cost references and replaces them with timeless, relevant messaging that emphasizes the impact of scheduling practices without requiring future updates.

New Messaging

• Availability:
  "Scheduling outside availability creates frustration, which can lead to turnover and costly hits to your labor budget."

• Thresholds:
  "Adhering to threshold limits supports employee well-being and ensures compliance with company standards."

How It Works:
When managers attempt to schedule outside of an employee’s availability or above defined thresholds, the updated statements are displayed. These messages no longer include static years or dollar amounts, ensuring continued relevance over time.

Rename Permissions and References from Schedule Optimizer/Fourth Profit IQ to Schedule Score

Roles affected: Managers, Admins, ASC Users

HotSchedules has updated the naming of all references to Schedule Optimizer/Fourth Profit IQ across the HotSchedules, ASC, permissions, and reporting. The feature is now consistently referred to as Schedule Score.

HotSchedules Updates

• Scheduler: Tab & Side Drawer updated from iQ Score → Schedule Score

• Reporting:

  • Dashboard report name: iQ Score History Report → Schedule Score History Report

  • Report modal: Print iQ Score History Report → Print Schedule Score History Report

  • CSV download: iQ_Score_History_Report → Schedule_Score_History_Report

ASC UI Updates

• IQ Parameter Configuration: Menu option and header updated from iQ Parameters → Schedule Score

• Data Export Section: Report name and modal updated to Schedule Score History

• Permissions:

  • HS user permission updated from Fourth Profit IQ Score → Schedule Score

  • ASC permission IDs to match new naming

How It Works:
All customer-facing references to Schedule Optimizer, Fourth Profit IQ, and iQ Score now display as Schedule Score. Functionality and permission behavior remain unchanged.

Roles affected: ASC Users with access to Schedule Score configuration

Tooltips on the ASC Schedule Score configuration page have been updated to clarify how parameters affect the Schedule Score.

Updated Tooltips

• Impact:
  Indicates the importance of a Parameter on a scale of 1–100. Impact values influence the Schedule Score, reflected through the Weight %.

• Weight %:
  The percentage of total Impact a Parameter has on the Schedule Score. All Weights sum to 100%.

How It Works:

• Tooltips now clearly explain the relationship between Impact and Weight %

• Functionality remains unchanged

Realigned Table Layout for Punch Records

Punch Records table layout on the employee card has been improved for readability and consistency.

Improvements

• Column headers aligned with data

• All columns left-justified

• Fixed column widths applied for consistent formatting

How It Works:
Managers viewing Punch Records will see a clean, aligned table layout. No impact on data or functionality.

New Grouping Options for Recommendations (by 'Day' or by 'Job')

Managers can now group recommendations by Day or Job in the Scheduled vs. Forecasted Hours view.

How It Works

Managed by radio buttons beneath Scheduled Hours vs. Forecasted Hours header. Recommendations are now grouped by Day or Job and default to the 'Day' view. 

• Day Grouping

  • Grouped by date (ascending)

  • Jobs listed alphabetically within each day

• Job Grouping

  • Grouped by job (A–Z)

  • Dates listed ascending within each job

Profit & Loss statement is update to state -> "There is an X% variance in your schedule."

Here's how it looks today:

Employee Certification Report Export Updated to Use 4-Digit Year

The Employee Certification Report CSV export now uses 4-digit years for certificate expiration dates to prevent Excel misinterpretation.

The Fix

• CERTIFICATE_EXPIRATION field exports as MM/DD/YYYY (e.g., 01/01/2030)

• Underlying expiration logic unchanged

• Dates now display correctly in Excel and other spreadsheet tools

Additional Actions

• Full review of all CSV exports conducted to ensure 4-digit year consistency

• Follow-up stories will address any other affected reports

General Improvements

• Primary Job not synced on shared employee
  Fixed unnecessary removal of former primary jobs that are still secondary in a former home store for shared employees
