Overview
If an employee is having trouble logging in to HotSchedules, managers can use the employee's profile to help resolve common account access issues.
From the employee's profile, you can:
- View their username
- Send a password reset
- Update the email address associated with their account
- Resend an email confirmation, if needed
Access the Employee's Profile
- Navigate to Staff > Staff List.
- Select the employee's name.
- From the employee's profile, review their account information and use the appropriate option below.

Find an Employee's Username
The employee's Username is displayed near the top of their profile.
Provide the username to the employee so they can confirm they are using the correct information when logging in.
I like this being its own mini-section because right now that instruction is buried in the bullets.
Send a Password Reset
If the employee has a confirmed email address associated with their account:
- Select Send Password Reset.
- A password reset email is sent to the email address associated with the employee's account.
- Instruct the employee to follow the link in the email to reset their password.
Note: A password reset can only be sent if the employee has an email address associated with their account.
Update an Employee's Email Address
If the email address on the employee's account is incorrect:
- Select the email address on the employee's profile.
- Enter the correct email address.
- Click outside the field to save the change.
Depending on the employee's account status, the new email address may need to be confirmed before a password reset can be sent.
Resend an Email Confirmation
If the employee's email address has not been confirmed, the confirmation indicator next to the email address appears gray instead of green.
- Select the gray confirmation icon next to the email address.
- Select Send to resend the confirmation email.
- Instruct the employee to open the email and select the confirmation link.

Once the email address has been confirmed, you can send a password reset from the employee's profile. The employee can also use Forgot Password from the HotSchedules login page.

If the employee is still unable to log in after confirming their username, email address, and password, use the Help option in HotSchedules to contact Customer Support.

The instructions in this article are for users who have previously logged in to HotSchedules. If you have never logged in before, contact your manager and refer them to this article.
If you have already tried to retrieve your own username or reset your password and were unsuccessful, contact your manager and ask them to follow the instructions in this article.
