Overview
Message Settings allow users to control how they receive and respond to HotSchedules messages and notifications. From this page, users can configure messaging preferences, notification delivery methods, and marketing communication options.
To access Message Settings:
- Log in to HotSchedules.
- Select the Messaging tab and choose Settings.
General Settings
The General Settings section controls basic messaging preferences.
Send me a copy of my messages
When enabled, a copy of each message you send through HotSchedules is delivered to your inbox for reference.
Use Quick Reply
When enabled, Quick Reply options are available when responding to messages, allowing faster communication with coworkers and managers.
Notification Settings
The Notification Settings section allows users to determine how notifications are delivered for specific HotSchedules activities.
Users can choose to receive notifications through:
- HS Message (within HotSchedules)
Available Notification Types
The following notification types may be available:

| Schedule Updates | Notifications when schedule changes occur |
| Shift Transactions | Notifications related to shift pickups, swaps, and releases |
| Manager Approvals | Notifications when manager approval is required or completed |
| Available Shifts | Notifications when open shifts become available |
| Follow Ups | Notifications for follow-up actions and requests |
| Late Punches | Notifications related to missing or late punches |
| Meal Breaks | Notifications related to meal break activity |
| Shift/Transfer Approvals | Notifications for shift or job transfer approval activity |
| Open Logs | Notifications related to logbook entries |
| Task List Updates | Notifications when tasks are assigned or updated |
| ToDos | Notifications related to ToDo items and updates |
Select or clear the corresponding checkboxes to control how notifications are delivered.
Marketing Notifications
The Marketing Notifications section controls promotional communications from HotSchedules.
Users can choose which types of marketing communications they would like to receive, including:
- HTML email messages (images and text)
- Text-only email messages
- Mobile-friendly HTML email messages
- SMS (text) messages
These settings apply only to promotional communications and do not affect operational notifications generated by HotSchedules.
After updating any messaging preferences review your selections and Save.
Troubleshooting
I am not receiving notifications
Verify that:
- The appropriate notification type is enabled.
- Your email address is correct in Personal Settings.
- Messages are not being filtered to a spam or junk folder.
I no longer want to receive email notifications
Clear the email notification options within Message Settings or use the Unsubscribe link included in HotSchedules email notifications.
