Overview
The Messaging tab allows HotSchedules users to communicate directly with coworkers and managers within the application. From the Messaging tab, users can send and receive messages, organize conversations using filters, and manage message preferences.
Use Messaging to communicate schedule updates, operational information, and team announcements without leaving HotSchedules.
Messaging Tab Components
The Messaging tab contains the following areas:
Message Folders
The Message Folders panel provides access to your messaging categories and folders, including:
- All Messages
- Schedule
- Task
- Logbook
- Availability
- Sent
- Trash
Select a folder to view messages associated with that category.
Custom Filters
Custom Filters allow you to organize messages into categories for easier access and management.
Select Add Filter to create a new custom filter and group related messages together.

New Message
Select New Message to compose and send a message to coworkers, managers, or an entire schedule.

Message Viewer
The Message Viewer displays the contents of the selected message, including:
- Sender information
- Recipients
- Date and time sent
- Message subject
- Message body
Select a message from the message list to view its details.
Message Actions
Use the Message Actions area to manage messages.
Available actions may include:
- Reply
- Forward
- Filter
- Additional message options
Available options may vary based on user permissions and message type.
Delete or Mark Messages as Read:
Delete messages by clicking the X beside it.
Apply actions to multiple messages by selecting the Multiple box, choosing the desired messages, and selecting an option from the drop-down menu.
