Minor Rules- Strictly Enforce Compliance Rules

What's Changing?

Managers will now have the ability to enforce Minor Rules strictly through a configurable checkbox in the ASC. This includes rules for Early Shift Start Time, Latest Shift End Time, Max Hours per Day, Max Hours per Week, Max Days per Week, and Max Consecutive Days. Violations will be surfaced through toast popups, and actions like drag-and-drop, copy/paste, and adding shifts will be restricted if rules are violated. Additionally, schedules with violations can be copied, but violating shifts will be converted to house shifts. 

Reason for the Change

Enforcing adherence to Minor Riles ensures that mangers create schedules that are compliant with labor laws and organizational policies. This reduces the risk of non-compliance.

Above Store Console (ASC) users with Minor Rules configured. 

Release Note Info/Steps

The following changes have been implemented: 

1. Minor Rule Enforcement: 
   • Added a "Strictly Enforce Minor Rules" checkbox to Minor Rules in the ASC.
   • Behavior changes in the Scheduler include: 
     • Drag and Drop: Prevents users from assigning that violate Minor Rules. A toast popup will notify users of the violation, and the shift will bounce back.                              

• • • Copy/Pasta Shift: Prevents pasting shifts that violate Minor Rules. A toast popup will notify users of the violation. 
    • Add Shift: Displays violations and disables the save button until the issue is resolved. 
    • Copy Schedules: Allows copying schedules with violations but coverts violating shifts to house shifts. A toast popup will notify users of the adjustment. 
    • Apply Template: Converts violating shifts into house shifts and displays a toast popup. 

Note: This functionality is limited to web.

 

 

Ignore Client Jobs- Batch Failed Timecards in Message to Managers when a Timecard with non-existing Job is Rejected.

What's Changing?

Managers will now receive a single HS Message when multiple timecard records fail due to missing group-level jobs. The message will include the employee's name, date, and error details. 

Reason for the Change

This update improves the efficiency of error notifications by consolidating multiple failed timecard records into a single message. It reduces notification clutter and ensures that managers can quickly identify and resolve issues related to missing group-level jobs. 

Customers Affected

Time & Attendance customers using group-level jobs in HotSchedules.

The following changes have been implemented:

• Managers will receive a single HS Message for multiple failed timecard records due to missing group-level jobs. 
• The message will include detailed information about the affected employees and dates. 

 

Paychex Flex Export

What's Changing?

To improve data organization and streamline report generation, we have updated the Paychex Flex Export with a new consolidated report option. We've added the ability for ASC users to generate a single CSV file containing data from multiple store locations. 

Key Features: 

• A new "Combine reports into one .CSV File" checkbox is available in the UI.
• The user's last selection (true/false) is saved for future sessions. 

Reason for the Change

These enhancements address user feedback and improve the efficiency of the Paychex Flex Export process. By allowing users to generate consolidated reports and providing a more structured column format, the updates save time, reduce manual effort, and minimize errors. 

Customers Affected

All ASC users with Time & Attendance who utilize the Paychex Flex Export functionality. 

Release Note Info/Steps

To access the new features: 

• Log in to the ASC
• Select Time & Attendance > Mange Payroll 
• Select Paychex Flex Export 
• Use the "Combine reports into one .CSV File" checkbox to generate consolidated reports for multiple store locations. 
• 
• The export will now generate a single CSV file containing data from multiple store locations.

 

 

ASC - Pay Exceptions - Update MBP Defaults

What's Changing?

The default value for the "meal by X hours into the shift" field for waiver employees in the ASC will now be updated to 5 hours. This ensures that he correct default meal break configuration is applied for waiver employees. 

Reason for the Change

This change ensures that waiver employees have the correct default meal break configuration, improving compliance and reducing the need for manual adjustments by ASC users. 

Customers Affected

All customers using the Above Store Console (ASC) with meal and break rule configurations for waiver employees. 

Release Note Info/Steps

The following changes have been implemented: 

• The default value for the "meal by X hours into the shift" field for waiver employees has been updated from 6 hours to 5 hours. 
• The behavior and default values of the "+Add meal or break for waiver employees" option remain unchanged.

 

 

Message Widget Load Time Improvement

What's Changing?

The message widget on the employee home screen has been optimized to load quicker. 

Reason for the Change

This change enhances the user experience by reducing the load time of the message widget, ensuring employees can quickly access their messages without unnecessary delays.

All customers using the employee home screen message widget.

After logging into HotSchedules the message widget will load within seconds.

What's Changing?

The mobile application now includes a filter where you can filter out available shifts by type, time, job, schedule, and location, enabling a tailored and intuitive scheduling experience on both IOS and Android devices. 

Reason for the Change

This enhancement empowers users to quickly and effectively find shifts that match their preferences and needs, improving the usability and efficiency of the "My Schedule" feature.

All Android and IOS users.

When viewing shift details you can now filter out shifts which do not apply to you by selecting the Filter icon and adjusting your preferences. 

Paylocity Export

What's Changing?

To improve data organization, we have updated the Paylocity Export with the addition of two new columns Client Name and Client ID. Headers were not added.
