Philadelphia- Require New GFE
- Enabled by default? - Yes
- Set up by customer admin? - Yes
- Enable via support ticket? - No
- Affects configuration or data? - No
- Roles affected: - ASC Admin, Managers
What's Changing?
This feature allows for the configuration of three new optional rules in the ASC, which when enabled will evaluate each employee’s Good Faith Estimate (GFE) versus their actual hours worked on a weekly basis and notify managers via HS Message if/when an employee needs to be provided with a new Good Faith Estimate as per the configuration rules.
Reason for the Change
This feature is designed to help keep Philadelphia Fair Work Week users in compliance with ordinance rules that require a new GFE be provided to an employee if/when actual hours, actual workdays, and/or actual shifts differ from the employee’s GFE in 6 out of 12 consecutive calendar weeks by a defined amount.
Customers Affected
All customers who are a covered employer (required to adhere to Fair Work Week ordinances) in Philadelphia are using GFE functionality.
Release Note Info/Steps
The new configuration options are available in the ASC under Pay Exception Rules Sets > Good Faith Estimate in the Time & Attendance menu option.
Users will need to check the box in front of each rule they want to enable. The rules will default to the current Philadelphia ordinance requirements but can be adjusted as needed.
- Actual hours differ 6 weeks out or 12 consecutive by more than 20%.
- Actual work days differ 6 weeks out of 12 consecutive by more than 1 day
- Actual shift start or end times differ 6 weeks out of 12 consecutive by more than 1 hour
A day after the schedule week has concluded, actual shifts for the previous schedule week will be evaluated against the GFE in place for the schedule week. An HS Message will be sent to managers who can configure a new GFE indicating which of any of the three exception types were exceeded.
In the configuration example above, assuming the schedule week is Sunday – Saturday, then on Tuesday a scheduled task will send an HS message to managers for any employee(s) who require a new GFE.
Note: employee-initiated shifts (house shift pickups or employee shift pickup/swap and approved time off) are excluded from the threshold calculations.
Managers who can configure a GFE will receive an HS Messages weekly until a new GFE is provided to the employee. A new GFE resets the exception count.
Right to Rest Calculation Optimizations
- Enabled by default? - Yes
- Set up by customer admin? - No
- Enable via support ticket? - No
- Affects configuration or data? - No
- Roles affected: - All users at customers configured to use Right to Rest.
What's Changing?
Optimized Right to Rest calculations to help reduce page load times, especially those affecting the Shift Approvals. Right to Rest users should experience a noticeable improvement on both the web and mobile applications.
Reason for the Change
Right to Rest calculations have become more complex over time as functionality has expanded the review for potential violations to include the previous and week schedule week (from current week) as well as the added features for Regular Schedules and Good Faith Estimates.
For those customers that use Right to Rest, the Shift Approval page was slower to load. The optimizations made reduce page loads across the app where Right to Rest calculations occur.
Customers Affected
Customers configure with Right to Rest rules.
Release Note Info/Steps
Optimizations are applied by default as part of the release.
