Manage Good Faith Estimates

What's Changing?
When enabled, Good Faith Estimate gives managers the ability to configure good faith estimated for each employee. Updates to the Scheduler will help inform of potential conflicts with an employee's good faith estimate to ensure compliance is top- of mind.
Reason for the Change
Some fair workweek markets require employers to provide employees with a good faith estimate at time of hire. The feature was created to meet those needs.
Customers Affected
This feature is for any customer in the cities of Philadelphia, Chicago, Seattle, San Francisco, Emeryville or the state of Oregon. Note: New York City's Fast Food ordinance requires a Regular Schedule.
Release Note Info/Steps
Customers will need to contact HotSchedules to enable the client permission Staff – Good Faith Estimates in addition to enabling the Good Faith Estimates user permission in the Above Store Console (ASC) Permission set for those users responsible for configuring Good Faith Estimates.
When the client and user permissions are enabled, the Good Faith Estimate tab becomes available on the Staff List and managers can create Good Faith Estimates for each employee.
Customers with access to Pay Exceptions in the ASC can enable Average Weekly Hours for employee subset of hour enforcement. This affects Philadelphia markets where the subset of hours cannot exceed 1.5* the employee’s average weekly hours. If a customer does not have access to Pay Exceptions, they will need to contact HotSchedules.
When enabled, Good Faith Estimates:

Cannot conflict with an employee’s availability.

Must be effective on the first day of a scheduling week (availability changes must also now be effective the first day of a scheduling week).

Must have the days and times an employee MAY be scheduled to work.

Must have at least one day where the employee is not scheduled to work

Hours are summarized by day and week as Gross Hours (excludes meal breaks).

Once saved, the employee’s good faith estimate can be viewed on the Staff List.

Once saved, the employee will receive an acknowledgement of their good faith estimate.

Ability to print a good faith estimate.
When enabled, Average Weekly Hours:

Average weekly hours are limited to quarter hour increments.

New Terms/Acronyms
Subset of hours: A range of time on specific days an employee can expect to be scheduled to work on an ongoing basis. For example, Barry’s GFE includes Monday, Wednesday and Friday with a time range of 8am to 8pm. Barry can expect on any given week to work any shift that starts no sooner than 8am nor ends any later than 8pm.

When enabled, Good Faith Estimates Scheduling:
- Managers are warned for shifts outside an employee’s defined good faith estimate range of hours.
- Visual cues are displayed for times outside good faith estimate hours on add/edit shift views.
- “Shift Outside GFE” label for shifts scheduled outside an employee’s good faith estimate range of hour intervals.
- SmartSelect will honor good faith estimate hour intervals and exclude employees if the shift conflicts with their subset of hours.
- Auto Scheduler will honor good faith estimate hour intervals when assigning shifts to employees.
- Templates will honor good faith estimate hour intervals when assigning shifts and house offending shifts.
- Copy schedule will honor good faith estimate hour intervals when copying shifts and house offending shifts.
