Overview
Overtime rules can be assigned at both the location and employee level. This allows organizations to configure a default overtime rule for a location while assigning a different rule to individual employees when needed.
This article explains how to assign overtime rules to locations in the Above Store Console (ASC) and how to assign an available overtime rule to a specific employee at the store level.
Note: Overtime rule assignment changes apply to the current pay period once new timecard activity is received and continue to apply to future pay periods. Past pay periods are not recalculated.
For information about the system-configured overtime rules available in HotSchedules, see HS: Pay Rules: Overtime Rules & Special Pay.
Organizations can also create custom overtime rules in the Above Store Console to define daily and weekly overtime thresholds and pay multipliers. For configuration instructions, see HS: Pay Rules: Configure Custom Overtime Rules.
Assign Overtime Rules to Locations
ASC users with access to the Assign Stores to Pay Rules page can view and manage the overtime rules assigned to store locations.
Multiple overtime rules can be assigned to a location, with one designated as the Default Overtime rule. If no employee-specific rule is assigned, the location's default overtime rule applies. Additional overtime rules assigned to the location are available for assignment to individual employees.
To view and edit overtime rules assigned to locations:
- Log into the Above Store Console.
- Navigate to Time & Attendance > Assign Stores to Pay Rules.
- Review the Default Overtime Pay Rule assigned to each store location.
- To make a change, check the box to select specific store location(s).
- Select the Assign Pay Rule button.
- In the Select Pay Rules window, select the Default Overtime rule.
- If applicable, add any additional Overtime rules that should be available for employee-level assignment.
- Select Save to apply the changes.
Note: Contact Customer Support for assistance accessing this feature if it is not currently available in the Above Store Console (ASC).
Assign Overtime Rules to Employees
An overtime rule assigned to an employee overrides the location's default overtime rule for that employee. Only overtime rules assigned to the location in ASC are available for employee-level assignment.
Users with the Edit Custom OT Rules permission can assign available overtime rules to individual employees.
To assign an overtime rule to an employee:
- Log into HotSchedules for the appropriate store; this can only be managed for the employee at their primary location
- Navigate to Staff > Staff List.
- Select the specific employee name to open their Employee Details.
- Locate the Overtime Rule in the right panel.
- Select the applicable overtime rule from the available options.
- The change is saved automatically.
Note: Contact Customer Support for assistance accessing this feature if it is not currently available.
