Overview
Advanced Meal & Break Planning gives organizations additional control over when meal and break rules apply to scheduled shifts.
Use Advanced Configuration when a standard eligibility threshold—such as “a 30-minute meal after 6 hours”—is not enough to represent your requirements. Advanced Configuration lets you add conditions based on the time a shift starts, the time it ends, and, where applicable, a specific window in which a meal must be scheduled.
This can be useful for jurisdictions with more specific meal or break timing requirements, as well as organizations that use their own policies with different thresholds or scheduling windows. For example, a location may require different meal rules depending on whether an employee works through a particular part of the day.

Note: This functionality can be configured regardless of whether a specific jurisdiction is listed in the compliance coverage section below.
Before You Begin
- You must have access to Meal & Break Planning in the Above Store Console (ASC).
- Review HS ASC: Meal & Break Planning Configuration for information about creating rule sets, configuring standard meal and break settings, and assigning rule sets to locations.
- Review the requirements for each location with your organization's legal or compliance team before configuring rules. Requirements may vary by jurisdiction and employee population.
Enabling Advanced Configuration
Follow these steps to enable Advanced Configuration for a Meal & Break rule set:

Navigate to ASC → Scheduling → Meal & Break Planning.
- Add a new rule or edit an existing Rule Set.
- Ensure Apply Meals/Breaks to Shifts is selected.
This allows HotSchedules to automatically add the meal or break to qualifying shifts at the time determined by the configured rule.
If Apply Meals/Breaks to Shifts is not selected, HotSchedules can identify that a meal or break is required, but does not automatically schedule it within the shift. Because Advanced Configuration controls when a meal or break should occur, enabling this setting allows the configured timing to be reflected in the schedule.

Select Advanced Configurations for the rule set. Once enabled, the additional Advanced Configuration options are available for all rules within the set.
- Advanced Configuration is now active for this rule set.
Note: Existing rule sets are not affected unless Advanced Configuration is enabled for the rule set.
Configuring Allocations within the Rule Set
Once Advanced Configuration is enabled for the set, each rule can be configured using additional time-based conditions. Add the allocations required to represent the applicable meal or break rules.
- Click Add Allocation to create each rule row.
When creating rules:
- Add the meal or break allocations needed for each rule within the set.
- Configure each rule based on the required shift conditions.
If the rule set contains multiple rules or allocations, consider how they may interact when applied to the same shift. See Configuring Multiple Rules below for additional guidance.
The following additional fields are available when Advanced Configuration is enabled:

| Shift Start Time | Restricts the rule to shifts that start during a specific range. Leave blank to match any start time. |
| Shift End Time | Restricts the rule to shifts that end during a specific range. Leave blank to match any end time. |
| Meal Falls Between | Sets the window during which the meal must be placed. The system will insert the meal break within this window. |
| Note: When Advanced Configuration is enabled, the Recurring option is not available. Each configured allocation applies once to a qualifying shift. Where more than one meal is required, configure the appropriate additional allocation rather than using Recurring. |
Configuring Multiple Rules
Advanced Configuration can support multiple allocations within a rule set when different shift conditions require different meals or breaks.
When configuring multiple rules:
- Make each allocation's conditions as specific as necessary.
- Check whether more than one allocation can qualify for the same shift.
- Where multiple allocations are intended to apply, confirm that their meal windows and timing can be satisfied within the same shift.
- Where allocations are intended to be mutually exclusive, configure the shift start/end conditions so they do not unintentionally overlap.
- Validate the configuration against representative shift patterns used by the assigned locations.
Example: Time-of-Day Meal Requirements
The example below shows how Advanced Configuration can be used when a jurisdiction requires different meal rules depending on both shift duration and the time of day worked.
New York is one example of a jurisdiction where customers may need this type of configuration. The example is provided to demonstrate how the Advanced Configuration fields can be used and should not be treated as a substitute for reviewing the requirements that apply to your organization or location.

Applies to shifts of 8 or more hours that start before 11 AM and end after 7 PM. This illustrates how an additional allocation can be used when a second meal is required only under specific shift conditions.

How Meals Are Applied
When Apply Meals/Breaks to Shifts is enabled, the system automatically inserts meal periods into shifts that meet your configured rule conditions.
If a shift meets the conditions of multiple rules, the system evaluates applicable rules and applies each qualifying allocation.
- With Advanced Configuration, the additional shift start, shift end, and meal-window conditions determine whether and where the meal is placed.
- Managers can still edit auto-created meal and break times in the Scheduler when operational adjustments are needed.
Meals added by the rules engine appear in the Scheduler alongside the employee's shift, allowing managers to review planned meal timing as part of the scheduling workflow.
Validation and Error Prevention
The rule set will be validated before saving. If any issues are detected, the Save button will remain disabled and an error message will appear, indicating which fields need to be corrected.
Validation checks include:
- Overlapping time windows within the same rule set
- Shift time ranges where the end time is earlier than the start time
- Duplicate rules with identical conditions
- Conflicting meal windows
After saving, test the rule set using shifts that represent the different start times, end times, and durations used at the locations where the rule set will be assigned. This helps confirm that each allocation is being triggered as intended.
New York City Compliance Considerations
New York meal-period requirements apply to covered employees working in New York City and may require different meal periods based on shift duration and the time of day worked.
