Before Labor Rules can be configured for a Job Code, a Labor Rule Set must be created. The Rule Set is where you can create Labor Rules for multiple stores at once. Check out this ARTICLE for Labor Rule Set creating.
Creating Labor Rules
The Configure Job Codes list will only display job codes with assigned rules, to start creating rules you need to select Add a Job Code and select a job code.
Then you need to select a Rule Type
Please note that Labor Rules of different Types may overlap time frames but Rules of the same Type cannot.
Once you select a rule, you will be required to select a Time Setting. This setting will apply to any Labor Rule for the Job Code going forward.
Fixed Time - The Labor Rules for the Job Code will be applied based on a “Fixed” time frame. For example, "From 10:00am - 4:00pm, I need 1 Server for every 10 Guests, and from 4:00pm - 10:00pm, I need 1 Server for every 8 Guests."
This setting is ideal for stores that have the same operating hours, or when a Job Code has specific hours that are independent of the stores’ operating hours, such as a Prep Cook.
Operating Hour - The Labor Rules for the Job Code will be applied based on the operating hours of each restaurant. For example, "From 1 hour BO (Before Open) to 5 hours AO (After Open) I need 12 Servers for every 10 Guests, and from 6 hours BC (Before Close) to 0 hours after close (Closing Time) I need 1 Server for every 8 Guests.
- Requires Business Hours to be entered for each location in the Settings tab at the site level.
This setting is ideal for stores that have different hours of operation.
Next step will be, configure the Rule.
We will show the different rules settings in the article. For the specific rule definitions check this ARTICLE.
Base Volume Rule- Labor Volume sets the minimum number of team members needed regardless of activity coming through the door. The rule is oftentimes used for Kitchen employees for hours before and after Operation Hours and is designed to prevent low sales from giving stores fewer hours than what they actually need. For example, the statement, “I need a minimum of 2 employees for 10:00 am, regardless what my Forecast might suggest" would always create two shifts even if the projected sales for 10:00 am are $0.00.
Standard Multiple - This rule defines how many shifts are needed based on the projected Labor Drivers (e.g., Guests, Tables, Entrees, etc.) for a designated period of time and Revenue Center. For example, “I need 1 Busser for every 10 Guests between 11:00 am - 4:00 pm for the Floor Revenue Center.”
Hourly Modifier - The Hourly Modifier Rule allows the addition of Labor if the Labor Driver count exceeds a specified amount during a specified timeframe (i.e. If Guests exceed 250 between 11:00 am and 1:00 pm, add 1 additional Dishwasher between 3:00 pm - 4:00 pm). With this rule, you can prepare for exceptions to the Standard Multiple Rules you set up. For example, you might want to set an Hourly Modifier to bring in an extra Dishwasher in case you end up having a busier lunch than projected to set the Dinner crew up for success.
Silverware Roller - Creates Labor based on how many rolls of silverware you want for every Labor Driver Count, and how long it takes an employee to put together one roll. The rule will only look at the projected Labor Driver for a specified timeframe. For example, you might say, “I need 1.5 rolls of silverware for every Guest. It takes 30 seconds to create one silverware set, and I only want to use Guests from 12:00 pm - 7:00 pm.”
Fixed Hour Multiple - The Fixed Hour Multiple Rule allows you to set a number of a selected Labor Driver from a specific time frame to represent 1 hour of Labor. (i.e. Assign 1 hour of Dishwasher Labor between the hours of 5:00pm and 8:00pm for every 4 Guests that came in from 3:00 pm and 4:00 pm). You can also specify a Min/Max Head Count.
Dual Multiple - this will allow for job hour creation based on (2) variations of the same source.
This new rule will allow for the accumulation of job hours based on (2) different multiples based on different source types of the product record.
Labor Rule Preview
If you are configured to preview a labor rule, you will be able to see the changes to an existing rule before actually saving it. The Preview Rule Set link will be next to the Save button.
To configure the preview, you will need to select a store and then select the desired weeks to use to get the preview. Select Run Preview, that will generate the preview for each selected.
The preview will include Labor Percent, Labor Dollars, Number of Hours and Number of Shifts. You will see it as the total for the week and you can select Show Day View, to view individual days.
