Employee Self Service
Employee self-service offers multiple benefits to an organisation and to the employee, the main pieces of functionality are listed below with benefits explained.
HR - Updating personal information
Giving employees the ability to log in and update their own personal information allows for more up to date and accurate records.
With the introduction of auto enrolment, an employee having an up to date email address will allow for the system to send documentation out automatically, rather than the time consuming and costly task of printing and posting letters.
Added to this, the employee is able to update their next of kin information, this ensures that the correct contact details are held in case of emergency.
HR- Requesting holiday
The system allows employees to log in and view their current holiday balance and request holiday through the system. When holiday is requested, the manager is subsequently sent an email advising them that there is a holiday request pending. The manager is then able to use functionality such as the holiday calendar to understand if they can afford to authorise the holiday. This ensures that all holiday booking is transparent and in one place.
HR – Documentation
Uploading of documentation into the portal allows employees to log in and view the latest version of any company literature.
Viewing the rota module allows the employee to see all current and future rotas that they appear on. This piece of functionality reduces the amount of calls to heads of departments from employees wishing to seek clarification of their next shift. We have also experienced a decrease of missed shifts for employers who have implemented this functionality.
Payroll – My Payroll
The payroll module allows employees to log in and view their current payslip and also all previous payslips. From this view they can print copies, which are acceptable for most financial applications. Of course copies of payslips can be provided when necessary.
Fourth already provides an iPhone app, called MyFourth. This allows employees to view personal details, holidays and payslips. The future will offer the ability for holiday requests and also support across Android and Windows mobile.
