Overview
Understanding the factors that impact on wages helps to manage costs more effectively.
Within HR & Payroll, it is possible to view all elements of the weekly Wage Cost via the Analysis page and Monthly Wage Cost Analysis Report. On the Analysis page, this data can be viewed by Location, Division, Section and Employee.
Rota Analysis
The Analysis page can be accessed through Rotas.

Select Analysis on the main Rota screen

In the Analysis page, break the costs down further by selecting Location, Section, Division or Employee at the top of the page, seen in Fig.2

Analysis Page Elements
The Analysis page displays all the elements that make up total Wage Costs.
Please note: These are decided by each business so the view will vary between portals.

The table below explains each of the wage elements displayed in the example in Fig.3.
Element |
Description |
Budgeted Revenue |
The total sales budget that has been entered into the system. |
Forecast Revenue |
The forecast that has been entered for a week. |
Actual Revenue |
If Actual Revenue has been entered it will show here. If Actual Revenue has not been entered, the line will be populated from Forecast Revenue. |
Wage Budget |
Gives a cash figure based on the wage budget % set in Location settings, against Budgeted Revenue. |
Available for Wages |
Gives a cash figure based on the wage budget % set in Location settings, against Forecast Revenue. |
Rota Wage Cost |
The total coast of the Forecasted Rota including salaries and NI, including any managers borrowed or lent. |
Total Hourly Pay |
The cost of hourly paid staff scheduled on the Rota excluding NI. |
Managers Lent and Borrowed |
Shows the cost of any salaried employees working in multiple locations. The full cost of the salary will display in the home location, a credit will then appear in the manager's lent line on the days that the employee worked elsewhere. |
Total Salary |
The total of all salaries scheduled at that location. |
NI Figures |
Employers National Insurance contributions are calculated separately for salaried employees and those paid by the rota. The system displays the cost of Employers National Insurance on separate lines but also calculates Total NI. |
Total Pay |
This is Total Hourly Pay + Total Salary and includes adjustments for managers lent or borrowed. |
Holiday Accrual |
Is an estimated cost of Holiday pay calculated from total hourly pay based on a percentage. This spreads the cost of Holiday pay across the year enabling more accurate forecasting and accounting. |
Holiday Pay |
Is calculated by the Rota once a request has been authorized in the HR module and looks at the employees' details and working pattern to calculate the vale. |
Monthly Wage Cost Analysis Report
It is also possible to view wage costs for a specific period using the Monthly Wage Cost Analysis report.

To access the report, go to Rota Module > Reports > Monthly Wage Cost Analysis

Select the required Location and enter Date From and Date To
The information can be displayed either by Location or Division, and either Weekly or Daily by selecting the relevant radio buttons.

This report can also be exported to Excel by selecting Export To Excel, a section of which can be seen in Fig.5
