HS ASC: Configuring and Understanding Labor Rules

• For every 4 Guest, 1 Team Labor is needed.
• No more than 30 Team Labor will ever be needed, regardless of the Tables.
• At least 2 Team Labor will always be needed, regardless of the Tables.
• There aren't any Buffers in place, so when viewing the Labor Volume for each interval of time, it will show information based on the above three bullet points.

• The Interval Count is set to 7, which tells us that Labor Volume will be calculated based on every 1.75 hours of Tables since the sites in this Labor Rule Set gather projections in 15-minute intervals.

Time Intervals

• The Threshold % is 25.  This means any time you are projected to need more than 25% of Labor based on the Labor Driver, the tool will round up.
  • See Buffers and Thresholds article for more information on how these are used.
• The only Revenue Center that is selected is Dine In, so Table Counts that come from any other Revenue Center will not be used when creating the Labor Volume.  If you don’t specify a Revenue Center, information will be pulled from all of them.

Settings Tab

You can configure the specifics of the Labor Volume for a selected Job Code by navigating to the gear icon next to the Job Code.

The example above reveals the following about the Team Labor job:

• The Shift can only be generated on the Default Schedule.
  • It's important to note that if the Site uses the Job Code on a different schedule, managers will not be able to generate shifts for it through the Forecasting tab.
• No Shift will neither be shorter than 3 hours, nor longer than 10 hours.
• 15 minutes will be added to the beginning of each shift, and 60 minutes will be added to the end of each shift.
• The Schedule Creation Method is set to the Default setting which means that depending on what is configured in the Forecast Settings sub-tab of the Clients tab in the Support UI, either hours or shift will be created from any Forecast generated from this rule.
• Each site is configured with Day Parts (Typically the AM/Lunch Day Part is from 4:00 am - 4:00 pm, and the PM/Dinner Day Part is from 4:00 pm - 4:00 am).  Here,  all DServer shifts are set to be created in the Dinner Day Part regardless of the Shift Start Time.
• A Shift cannot be created after 6:30 pm on any day of the week.
• Site-level users are permitted to make any revisions to how many shifts are created.

Allowing Store-Level Override

When creating Labor Rules in the ASC, you have the option of allowing site-level managers with the Forecast Configuration and the Forecast Config: Max Staffing Overrides permissions more control over how many shifts are created by checking the Allow Store-Level Override box of the Job Code Settings.

When the box is checked, the site-level user can navigate to the Forecast Configuration sub-tab of the Forecasting tab, and add the Job Code that has the Override enabled to a list of any other Job Code with the same Override in the Maximum Staff Overrides section.

Although the site-level user has the ability to override what is listed in the ASC, the number cannot be lower than what is listed as the Minimum in the ASC.  For example, if you set the Minimum amount of LServers to 2 in the ASC, the Rule will always create at least 5 LServers regardless of what is entered at the site level. 

Keep in mind that a site cannot add a Maximum Staff Override of 0.

Understanding Schedule Creation Method

The Schedule Creation Method allows you to choose how a specific job is created for site-level users. In other words, although a site may be configured in the Forecasting Settings sub-tab of the Clients tab to create house shifts, you can set specific job codes to follow a different behavior when creating Labor Rules.

• Selecting Default will tell the job code to follow the behavior that is configured in Forecast Settings.
• Selecting House Shifts will generate house shifts for the selected job code even if the option is not selected in Forecast Settings.
• Bucket of Hours will generate hours even if Create House Shifts option is selected in Forecast Settings.
