Overview
Punch Exceptions identify punch records that may require manager review based on rules configured for the location. These exceptions help managers identify potential issues such as missed punches, long shifts, schedule variances, or other punch activity that falls outside expected parameters.
Managers can review punch records with exceptions directly from the Punch Records page by using the Exceptions filter. After reviewing and making any needed edits, punch records can be marked as reviewed.

Review Punch Exceptions
To review punch exceptions:
- Log in to HotSchedules.
- Go to Staff > Punch Records.
- Select the date range you want to review.
- Use the Exceptions drop-down to filter punch records with exceptions.
You can filter for all punch records with exceptions or select specific exception types.
Review and Edit Punch Records
After applying the Exceptions filter, review the punch records listed on the page.
Open each punch record as needed to confirm whether the punch details are accurate. If a punch needs correction, update the record before marking it as reviewed.
Depending on the exception and site configuration, you may need to review details such as:
- Clock-in or clock-out times
- Meal or break information
- Job assignment
- Scheduled versus actual hours
- Tip information, if applicable
Mark a Punch as Reviewed
Once a punch record has been reviewed and any needed edits have been made, mark the individual punch as reviewed using the radial button on the left side of the punch card.
This indicates that the punch exception has been reviewed.
Mark All Punches as Reviewed
If all visible punch records with exceptions have been reviewed and no additional edits are needed, select Mark All Reviewed at the top of the page.
Important: Use Mark All Reviewed only after all necessary punch record edits have been completed.
Additional Information
- The Exceptions filter can be used to view all punch exceptions or specific exception types.
- Punch records should be reviewed and corrected before they are marked as reviewed.
- Marking a punch as reviewed does not replace correcting inaccurate punch data.
- Use Mark All Reviewed only when all visible exceptions have been reviewed.
