Overview
This article will guide you through the process of enrolling employees on the various biometric devices that Fourth offers.
Spending a little more time on enrolment will make sure that when an employee is impatient or late for work it will still read their face or fingerprint correctly. A good enrolment procedure guarantees fast reading time and smooth daily usage but a rushed enrolment procedure can lead to inaccurate templates, resulting in difficulties with registration later
- The device must be online (with a globe symbol on the top right-hand corner visible)
- Every employee must be both available and currently active in the core Fourth solution.
- All employee IDs must be Numeric Only.
The steps that need to be followed vary by device - Jump to:

Enrolling Employees
- Go to the device Configuration Menu by pressing the Menu key and entering the Menu Code (this will have been shared with you at installation - please speak to your system administrator if you do not know it)
- Select 3 - Fingerprint from the Configuration Menu
- Select 1 - Enroll
- Identify the Master, either by using the code that was shared with you at installation or by administrator fingerprint
If the code or fingerprint has been accepted the device will display a green tick icon and a green light will show.
- On the next screen enter the Employee Number - exactly as it is in the WFM solution
-
The employee to be enrolled will then need to present their finger to the scanner
- Depending on the configuration of the device at installation the employee may need to present their finger 1, 2 or even 3 times to complete enrolment
- Make sure to Validate the enrolment before completing the task.
Validate Enrolment
- Enter the device Configuration Menu by using the Menu key followed by the Menu Code (this will have been shared with you at installation - please speak to your system administrator if you do not know it)
- Select 3 - Fingerprint from the Configuration Menu
- Select 2 - Verification
- Identify the employee using their employee number and, when prompted, have the employee present their finger to the scanner
The device will register either 'Success', in which case the employee has been enrolled, or 'Verification Failed', in which case the employee template must be deleted and the process re-started.
Failure to delete the template may result in too many records being recorded for an employee number, generating a 'No Free Finger' error message.
Setting up PIN By-Pass
There may be circumstances where an employee is unable, or unwilling, to use their fingerprint to validate their identity. While we don't advise it except in exceptional circumstances Fourth can set a PIN bypass for the employee in question. you can speak to the installation team if your device is within the installation window or submit a ticket to Support after that to have PINs added to individual employees.

- Select the level of privilege the employee should have. Unless otherwise instructed, this should always be 2 - Attendance

Tips for Successful Enrolment
- During the enrolment process, the employee should keep their eyes centred on the screen always
- Attempt to keep a solid box around your face by following the steps below
- The SY910 terminal is for use indoors; do not position the terminal in direct sunlight
- Use normal facial expressions and avoid wearing sunglasses whenever possible
- Bend into the camera, keeping the distance between the face and screen at 30 to 50cm for best results
- Keep the face centred between the 2 cameras
- The green lined frame displays when the employee's face is successfully being detected
- If the white dashed frame appears, the employee's face cannot be recognised, so please have the employee adjust their positioning

Enrolling Employees
- Select F6 (Enrol) on the terminal - this may cause the machine to ask for the Master Code (this will have been shared with you at installation - please speak to your system administrator if you do not know it)
- Enter Employee Number of an employee (this should be the same as 'batch no.' in an employee's personal record)
- Place the finger on the reader
Once registered, the device will report the quality of the fingerprint template.
If no finger is detected, the device will display an error message (as shown below)
Tips for Successful Enrollment
- Employees must stand facing the terminal square-on
-
The natural finger to use is the index finger of either hand
- If the index finger is not suitable, use the middle finger. If using the middle finger, place the index finger and 3rd finger together on the clock so that the middle finger rests on the glass sensor. This will help to keep the fingers steady during the enrolment
- Try the index finger or middle finger on the other hand
- The thumb should not be used unless no other finger works
- If the employee damages their finger after enrolment (i.e. a cut or bruise), then another finger should be enrolled
-
Show the employee how to place the swirled area of the finger on the centre of the glass sensor
- Rest the palm of the hand on the clock so that the hand cups the reader
- Do not lift the hand or finger up as this will allow light to get under the finger and spoil the contrast of the scan
- The finger must be positioned as high as possible within the glass sensor
- Try to aim for 90% quality or more, the higher the figure the easier it will be for the employee to use it later. If you cannot achieve a high score, please try again as per the guidance above
- Verify the integrity of the employee’s fingerprint template by inviting them to test the terminal five times
