Updated Payroll Preview, Past Pay Run Report, and Weekly Overview Report Export Options
Payroll Previews, Past Pay Run Reports, and the Weekly Overview Report V3 can now be exported as XLSX or CSV files, replacing the legacy XLS format. Payroll Previews and Past Pay Run Reports have also been updated to improve usability and streamline workflows:
- Ability to switch between preview/report types within a single pop-up without re-running data
- Option to export individual types or all types together
- When exporting all types to XLSX, each type is placed on a separate sheet in Excel
These enhancements remove the need to re-run reports when switching types and make exporting more flexible.

Instructions
While data and visual output remain unchanged, the new export formats may affect existing workflows. Excel macros and processes relying on the .XLS format could encounter issues. These changes are not enabled by default, allowing time for preparation.
Fourth can temporarily enable the updates, allowing you to run a preview or report and assess the impact on your internal processes before fully committing. Once reviewed, the updates can be turned off whilst you make any necessary adjustments, then re-enabled when you are ready.

Payroll Previews and Past Pay Run Reports
- Once the changes are enabled, both of these reports will follow the same updated functionality.
Payroll Previews
- Go to Payroll Homepage > select Current Payrun> Page Links > Preview > Retrieve Most Recent Preview (if this is not available, run a preview first and then repeat these steps)
The preview/report will be displayed onscreen, with new radio buttons (Fig.1) that allow switching between different data types (previously selected from the Type drop-down (Fig.2)). The display updates instantly, with no need to re-run or reload.

Past Pay Run Reports
- Go to Payroll > Pay Runs > Past Pay Run List > select Pay Run > Page Links > Pay Run Report > Run Preview
The changes here are the same as with Payroll Previews, with the Type selections available as radio buttons - see Fig.3.

Export Formats
These previews/reports can now be exported to an XLSX Excel file or CSV.
- This is done by selecting the new Export button
The current Export to Excel button will remain, which is the legacy method to export the preview to XLS.
A new pop-up will appear (within the existing pop-up) that will allow selection to export to CSV or Excel (XLSX) for the individual preview type selected, and an option to export All the preview types to XLSX.
Weekly Overview Report V3
New export options are also available for the Weekly Overview Report V3.
- Go to Rotas or Scheduling > Reports > Weekly Overview Report V3 > Enter Week and Generate For filters > Search
- Select Export
- CSV and Excel (for XLSX file) options are available
Please note: These export methods remain available at both location and division levels of this report.
