Absence (Sickness) Record Breakdown
We've added a breakdown view to the Absence grid, accessible via a button on each absence record. It gives a read-only, day-by-day view of SSP and CSP for the full absence period, showing qualifying days, waiting days, exclusion reasons, and daily values. The figures shown match exactly what the payroll engine calculates, so they line up with payroll outputs and downstream exports, and the view updates automatically whenever the absence record is edited and recalculated. See below for more information. -
Absence & Pay Report
We're introducing a brand new Absence & Pay Report, giving users a more powerful way to export absence and pay data than the existing Absence Analysis Report. It's available in two views: a detailed view, providing a full day-by-day breakdown of each absence including qualifying day status, SSP and CSP rates, waiting days, excluded reasons, and payment dates, and a summary view, condensing each absence into a single row with totals across the full period, including calendar days, working/qualifying days, total SSP and CSP paid, paid and unpaid days, and overall payment status. Once Absence in Hours is released, this report will be extended to support hours-based absence too, making it the go-to report for absence and pay data going forward. -
Report Exporting Method Modernisation
Payroll Previews, Past Pay Run Reports, and the Weekly Overview Report V3 can now be exported as XLSX or CSV files, as well as the legacy XLS format. This functionality was originally released on 21 May 2026 but was only available on request. From this release, it's enabled across the board for all users.

Absence (Sickness) Record Breakdown
How to view the breakdown
- Go to the Absence grid for the employee record.
- Locate the absence you want to review.
- Click the breakdown button in the row (shown as a small teal icon on the right-hand side of the grid).
- The daily breakdown panel expands beneath the absence row.
To see the Absence breakdown, go to either:
- HR Module > Employees > Employee List > Find & Select Employee > Employee HR Info > Absences
- Payroll Module > Employees > Employee List > Find & Select Employee > Employee Info > Absences
Then where the employee has an absence record, select the button in the Breakdown column:
This will expand the UI to present the breakdown for that Absence record:
- The view is read-only and cannot be edited from this panel.
- Values shown match exactly what the payroll calculation engine produces, so they'll tie out with payroll outputs and exports.
- If the absence record is later edited and recalculated, the breakdown updates automatically to reflect the new figures.
What the breakdown shows
The breakdown is split into two halves: the left side covers Statutory Sick Pay, and the right side covers Company Sick Pay.
Column Header |
Description |
Absence Date |
Shows the date of the absence, the day of the week it falls on, and whether that date counts as a qualifying day, indicated with a tick or cross. |
Pay SSP Day |
A tick shows the date is eligible for SSP, a cross shows it isn't. A number in brackets tracks the cumulative SSP day count as the absence progresses, for example, Day 1 (qualifying) shows SSP Day (1), Day 2 (qualifying) shows SSP Day (2), Day 3 (qualifying) shows SSP Day (3). Day 4 and Day 5 (non-qualifying, no SSP due) both remain at (3). Day 6 (qualifying) moves on to (4), and Day 7 (qualifying) moves on to (5). |
SSP Daily Rate |
Shows the SSP amount for that specific day, with the running cumulative total for the absence shown in brackets. |
Excluded Reason |
Shows the reason why SSP isn't being paid for that day, where applicable. |
Entitlement Started |
Shows when CSP entitlement begins for this absence record. This may be later than the absence start date if the contract is configured with CSP waiting days. |
Pay CSP Day |
A tick shows the day is due CSP, with a number in brackets tracking the same cumulative day count logic used for SSP above. Alongside the tick or cross, a symbol indicates the type of day: a full circle for a full CSP day, a half circle for a half CSP day, and an hourglass for a CSP waiting day. |
CSP Daily Rate |
Shows the CSP amount for that specific day, with the running cumulative total shown in brackets. |
Payment Date |
Shows the date on which the SSP and CSP for that day will be paid. |
At the bottom of the breakdown, a summary row shows the overall totals for the absence record:
Column Header |
Description |
SSP Days Paid |
Total number of days SSP was paid for |
SSP Paid |
Total SSP amount paid across the absence |
CSP Full Days Paid |
Total number of full CSP days paid |
CSP Half Days Paid |
Total number of half CSP days paid |
CSP Paid |
Total CSP amount paid |
Gross CSP Paid |
Total CSP amount before any SSP Offset |
Note: These figures will only update once the relevant payroll has closed, meaning the figures have actually been paid.
Absence & Pay Report
The report can be accessed from either the HR Module or Payroll Module:
- HR Module > Reports > Exports > Absence and Pay Report
- Payroll Module > Reports > Exports > Absence and Pay Report
Once selected, choose either the Detailed or Summary view, along with your required date range and filters, then run the export as XLSX or CSV.
The detailed view breaks the absence down day-by-day, showing the date, absence type, qualifying day status, SSP and CSP rates, excluded reasons, and payment date for each individual day.
The summary view instead condenses each absence into a single row, giving totals across the full absence period, including calendar days, working/qualifying days, total SSP and CSP paid, paid and unpaid days, and overall payment status.
When running the report, you can also choose how absences are returned relative to your search date range, using the Absence Display option:
- Full Absences - Available for both the Summary and Detailed report views. If an absence record falls partly within the search range, the entire absence is returned. For example, an absence running 1st to 31st July searched against a range of 1st to 10th July would return the full 1st to 31st July absence, as the absence overlaps with the search criteria.
- In Range - Available for the Detailed report view only. Only the days of the absence that fall within the search range are returned. Using the same example, an absence running 1st to 31st July searched against 1st to 10th July would only return the days from the 1st to the 10th.
