Q: An employee doesn’t have an email address. Can they still access the Fourth app?
A: For an employee to be given access to the app, they will require an email address. Email accounts can be set up very easily (free of charge) through a number of companies, such as Gmail and Hotmail. If the employee is a user of Fourth's People System, the personal email address they have set against their profile should be used.
Q: How can an employee access the Fourth app?
A: The Fourth app can be accessed at http://secure.fourth.com via any browser on a PC or mobile device. If using an Android device, the app can be downloaded from the Google Play app store. Simply search for 'Fourth'.
Q: How can an employee access the Fourth app if they have an Apple device?
A: The employee should open the 'Welcome' email from the Apple device and set up the account. They will be automatically directed to the Apple app store to download the app. If the employee chooses not to download the app at this time they will need to go to http://secure.fourth.com within a browser on the device (such as Safari or Chrome) and log in to the app. Once logged in, they will be able to select the Get the App menu option, which will take them to the app store to download it.
Q: How can an employee be given access to Fourth?
A: Employees automatically receive a Welcome email for the Fourth Platform as soon as they are created within Fourth’s People System. They will receive one email that introduces them to the app and how it works, followed by a second email that contains a unique link to set up their login details. These emails will come from a ‘noreply@fourth.com’ and ‘integration’ email address.
Q: What if an employee says that they didn’t receive their Welcome email?
A: The email could have gone into their spam or junk email folder. Ask the employee to check such folders, looking for emails from ‘noreply@fourth.com’ and ‘integration’.
Another reason could be because their email address within Fourth’s People System is incorrect. The employee's HR record should be checked and then they should be asked to verify the email address that is held within the system.
If the email address in the system (the employee's HR record) is incorrect, please update it and then contact the Administrator to request that they update the employee’s email address within the Fourth Account system.
Once the Administrator has confirmed that the employee’s email address has been updated, the employee can be advised to use the Forgot Password link that can be found on the login page of the Fourth app. They should then shortly receive an email that contains a unique link to create a password for their account.

Q: Employees are having a problem accessing the Fourth app.
A: If employees are having any problems accessing the app, please ensure that they have a good internet connection, either through WiFi or a mobile network. It is also suggested that employees change their internet connection (if alternatives are available) to rule out any problems with the internet provider.
If the employee is experiencing the problem using a tablet or mobile app, please ensure that that they are using the most up-to-date version of the app. Employees can visit the Google Play or Apple app stores and check for updates.
If any problems continue, please contact your Administrator who will be able to advise if there are any known issues with the app that are currently being investigated.

The employee can use the original link and select ‘forgotten password’.
Q: A user is unable to see all of the Groups that they should be able to.
A: Users can be added to a number of different groups based on their Location, Division, Region and Job Title. However, every user should at least have a Group for their Location and the ‘Company Chat’ group.
If a user does not have all of the Groups that they should do, please contact your Administrator.
Q: An employee is unable to see their shifts within the 'My Rotas and Payslips' app.
A: If hours for an employee have been entered into the Rota and they are still unable to see the hours on the app, the most likely reason will be because the Rota has not been ‘Approved’. Once the Rota is set to ‘Approved’ the employee will be able to view their hours/Rota within the app.
Q: When will an employee receive a notification on their device?
A: If an employee has the Fourth app downloaded to their device, they will receive a notification whenever they receive a direct message, are mentioned in a post by another user, or an Announcement is added. An Announcement is the banner image that shows at the top of the feed and users will be notified as soon as a new one is added to a group that they are part of.
Users will not receive notifications if another user replies or likes a post that they have made or if they have their push notifications switched off within the app settings on their device.
Q: What devices is the Fourth app supported on?
A: Listed below are the minimum requirements for the Fourth mobile app. The Fourth app is not available on Windows mobile or Kindle devices, but using them, it is still possible to access everything on the app by going to http://secure.fouth.com via a browser.

A: As long as the Rota has been set to a status of ‘Approved’, a user will be able to see any changes that are made to their shifts when they next go into the app.
Q: How do I open Documents within the App?
A: To open a document, such as a PDF document for HR Policies, simply select the document and the app will then download it. Once downloaded, it will provide an option to open the document in a separate app such as ‘iBooks’ or send it via email, etc.
Q: What if my employees need paper documents?
ESS will allow employees to print payslips for 12 periods therefore the employees can manage this themselves.
Q: What if employees need official payslips for VISA/Mortgage applications?
The payslips printed from ESS will be acceptable as long as they are accompanied with a letter from yourselves confirming their authenticity.
Q: Will I get a reduction in price moving onto ESS, and will this be difficult to manage?
No, the charges you receive on your invoice are for the end to end payroll processing of each individual employee. The costs don’t reflect the delivery method of the payslips themselves.
Once the initial set up has been completed the system will then manage this, every time you set up a new starter an invitation will automatically be sent to the new starter inviting them to ESS.
Q:Will employees still have access to ESS once they have been terminated?
Terminated employees will have limited access to ESS for 90 days from termination – they will only have visibility of their payslips and P45.
