Schedule Planning Horizons Process - Action
When this alert happens:
Users who can edit schedules will receive this Action two days before the schedule is due to be set to “Ready to Review.” If the schedule is still in the “New” state, they’ll be prompted to take action.
Why it matters:
This alert reminds users to progress schedules on time, avoiding delays in the review process. It helps keep staffing plans on track and gives operations managers enough time to review schedules properly.
What you’ll see:
Sales forecast, labour cost and budget, productivity percentages, and any key warnings or issues.
What you need to do:
Update the schedule status through the iQ App — make sure it’s marked “Ready to Review” before the deadline to keep the approval process on track.
This Action helps you make a quick, informed decision, and once you’ve responded, the location manager is notified immediately.
Schedule Approval Process - Action
When this alert happens:
Users who can approve schedules will receive this alert when a manager sets a schedule as “Ready to Review.” At this point, it needs sign-off from an area or district manager before it can be used.
Why it matters:
Approving the schedule ensures that the planned shifts match the locations needs and to stay within budget. If the schedule isn’t approved on time, it could delay when it gets shared with the team which may impact staffing levels and day-to-day operations.
What you’ll see:
Sales forecast, Labour cost and budget Productivity percentages, any key warnings or issues.
What you need to do:
As an area or district manager, you’ll get a notification in the Manager iQ app. From there, you can quickly review the schedule, check key metrics, and either approve or reject it.
This Action helps you make a quick, informed decision, and once you’ve responded, the location manager will get notified right away of the outcome.
Sales & Labour Performance – Prior Day & Week-to-date - Alert
When this alert happens:
Users who can view schedules will receive this alert each day with a summary of how your location performed yesterday and how you’re tracking so far this week in terms of sales and labour.
Why it matters:
This alert helps you keep labour spend in line with your sales performance. It flags when you’re over or under budget, so you can act quickly either by cutting back or investing more hours to hit your targets.
What you need to do:
If you’re over budget: Review the remaining week’s schedule and scale back any excess labour to avoid overspending. If you’re under budget, you might have room to add more labour to better support forecasted sales and improve deployment.
What you’ll see:
There are 2 sales and labour-related alerts. Yesterday’s sales and labour performance, and current tracking of sales and labour performance for the current week. Actuals vs forecast/budget comparison. These Alerts help you stay in control of your labour plan and make informed decisions throughout the week.
Forecast Labour Adjustment – New AI Forecast Action
When this alert happens:
Users who can edit schedules will receive this Action in the Manager iQ app when a new AI-generated sales forecast differs significantly (by more than 15%) from the current manager forecast. The system automatically reviews your current staffing levels to see if they would fulfil the new AI forecast if applied.
Why it matters:
This gives you access to the most up-to-date AI forecast, which considers recent data and any changes in forecasting trends specific to your location. By aligning your sales and labour plan to the latest AI forecast, you can avoid being over or understaffed. Acting early helps you manage labour costs, maintain coverage, and hit your sales targets.
What you need to do:
Review the updated AI labour recommendations, including any suggested open shifts and their impact on labour cost. Decide whether to apply the new AI forecast: If accepted, your location will update to use the latest AI forecast. The selected open shifts will be created to meet the updated labour demand. These shifts will be published for employees to view and pick up. If the changes aren’t needed, you can simply dismiss the action in the Manager IQ app.
What you’ll see:
The IQ App will display key metrics such as the current manager forecast vs. the new AI forecast, and your current labour deployment vs. suggested deployment.
This Action provides Managers the latest AI forecast, based on recent data and local trends and any new shifts needed to fulfil it if applied.
Forecast Labour Adjustment – Alert Only (AI Forecast Significantly Lower)
When this alert happens:
Users at the location will receive a notification when the new AI-generated sales forecast is more than 15% lower than the current manager forecast. This is an informational alert only — no action is required or triggered.
Why it matters:
This alert is designed to keep managers aware of significant changes in forecasted demand. A lower AI forecast may indicate a shift in trading patterns or local conditions that the model has detected. While no immediate action is expected, awareness of the gap helps inform your ongoing planning decisions.
What you need to do:
No actions are available in the current version. However, we recommend reviewing your sales and labour plan for the day in case the AI forecast aligns more closely with trading conditions than the existing forecast.
What you’ll see:
The alert in the Manager iQ app will show:
The current manager forecast vs. the new AI forecast. The percentage difference between the two. Please note that this is informational only - no adjustments will be made unless you choose to act manually.
Clock-In Alert – Late for Shift Alert (eClock customers only)
When this alert happens:
Users who can edit schedules will receive this alert in the Manager iQ app when an employee fails to clock in within a set time window (10 minutes after their scheduled shift start). The system monitors this in real time and flags any no-shows early. Every 5 minutes, employees who are over 10 minutes late will be included in the alert.
Why it matters:
This alert gives you immediate visibility of potential attendance issues, helping you act fast to avoid staffing gaps or service disruption. Real-time alerts for missed clock-ins help you quickly address attendance issues before they impact service giving you full visibility and control.
What you need to do:
Open the alert in the Manager IQ app. Review the details of the late employee, then contact them to confirm their status. If they’re unavailable or can’t make it, arrange shift cover as needed to maintain staffing levels.
What you’ll see:
The alert includes - Name of the employee who missed their clock-in or scheduled shift start time, how late they are, contact details (if available), and quick access to shift cover tools (where applicable).
Shift Management & Unavailability Requests (My Schedule Customers Only)
When this alert happens:
Managers receive a notification in the Manager iQ app whenever a team member submits a shift-related request including swap, drop, give, or unavailability.
Why it matters:
PManage all shift requests directly in the Manager iQ
Receive, review, and respond to any shift swap, drop, give, or unavailability requests in one place. Approve or reject requests instantly — the schedule updates automatically, and employees are notified in real time.
What you need to do:
Open the notification in the Manager iQ app, review the details of the request (employee, date, shift, and reason), then approve or reject as appropriate. The system will automatically update the schedule and notify the employee of the decision.
What you’ll see:
The action displays the employee name, type of request (swap, drop, give, or unavailability), requested shift details, and any accompanying notes. Managers can approve or reject directly in-app, with instant updates reflected in the live schedule.
Publish Schedule Reminder Action
When this alert happens:
Managers receive a reminder in the Manager iQ app if a schedule for an upcoming period has shift changes but has not bee published.
Why it matters:
Publishing schedules on time ensures employees always have the most up-to-date information about their shifts. It helps reduce confusion, missed shifts, and last-minute changes.
What you need to do:
Open the Manager iQ app, review any unpublished schedules, and select Publish. Once published, employees will instantly receive notifications and see their confirmed shifts in their MySchedules app.
What you’ll see:
The alert identifies the location and schedule week where updates have been made but remain unpublished. Managers can publish directly from the alert, ensuring all employees immediately see the most up-to-date schedule.
Employee Skill Scoring
When this alert happens:
Managers receive a notification in the Manager iQ app when a new employee has been added to the system with a skill score of 0. This alert triggers automatically, flagging that the employee cannot be included in auto-scheduling until their skill score is updated.
Why it matters:
This alert helps maintain scheduling accuracy and compliance by ensuring only qualified or trained employees are automatically scheduled. It prevents untrained staff from being assigned to shifts, reducing operational risk and maintaining service standards.
What you need to do:
Open the alert in the Manager iQ app, review the employee details, and update their skill score in the system once training or onboarding is complete. Once a valid score is assigned, they’ll be eligible for inclusion in auto-scheduling.
What you’ll see:
The alert displays the employee name, role, location, and current skill score (0), along with a direct link to update the skill record. This allows managers to quickly take action and enable the employee for future scheduling runs.
