Overview
This article will guide through how to reinstate an employee after they have been/plan to be terminated - but their P45 has not yet been released, in Workforce Management (WFM).
Please note: Employees who have received a P45 will have had their termination date submitted to HMRC via the normal FPS submission and therefore will need to be rehired.
Termination in the Future
If an employee’s termination date is in the future:
- In the HR module, go to Employees > Employee List
- Search for and select the required employee
- Go to Employee Info > Termination Details
- Select Delete at the bottom of the page
This will delete the termination and keep them as a current employee.
Please note: The user access required to carry this out is the 'Payroll Administrator' and re-employ needs to be set to Yes.
Termination in the Past
If an employee’s termination date is in the past, but they have not yet had their final pay and P45 processed:
- In the HR module, go to Employees > Employee List
- Search for and select the required employee
- Go to Employee Info > Termination Details
- Ensure that Re-employ? is set to Yes (if this is greyed out, check the 'Termination Reasons' setup page - see this article for guidance)
- Then (with the same employee selected) go to Employee Info > Employment Details page and change the Status to Current
This will make them a current employee again and delete the termination details.
For Employee's Part of Pension Scheme
If the employee was part of a pension scheme, then the end date needs to be removed from the pension record too.
- To do this, go to the employee’s pension record in the Payroll module, and open the Pension Scheme
- Remove the Contribution Stop Date and the Reason For Stopping Contribution
- Select Save
Fourth Accounts
After re-instating, a Salesforce message should be sent to update the Fourth account, however, the user will need to reset their password first to login.
