Overview
This article provides guidance on resolving the following common queries encountered within Workforce Management:
- Unable to Create an Employee
- Unable to Change Employee’s Salary
- Unable to Process Lieu Day in a Rota Day Content Page
Unable to Create an Employee
A user is unable to create new employees due to the following message being displayed:
'With Auto-attach on, you can only create employees if you have user access to at least one company'
This is because the user does not have the essential permission.
Resolution
The correct Company Access is required in the HR module. The system administrator will be able to grant this access.
- Go to HR > Employees > Employee List > search for and select the Employee who is trying to create a new employee
- Then, use the employee side menu and go to Employee Access > Assign Access Levels

Then, under the 'Payroll Module' section, set the Company Access as required:
- Companies - Own Only - gives access to the company where the employee is located
- Companies - Bespoke - reveals an Edit button where specific companies can be selected
- Companies - All - gives access to all of the organisation's companies
- Scroll down and Save
Unable to Change an Employee’s Salary
The following message appears when a user attempts to make a pay change for an employee when they have already carried out a salary change for another employee.
'This change date is not allowed as only one salary change is permitted per pay period'
Please submit a request to Fourth's Support Team, who will need to turn off the payroll global setting ‘Mid-pay’ period changes. They will also need to check with the Bureau Team to ensure nothing has been carried out by payroll.
Once this setting is turned off, the user will be able to change the employee’s salary/hourly rate as desired.
Unable to Process Lieu Day in a Rota Day Content Page
A user is unable to process a lieu day within the rota due to the following message being displayed:
'Please select an alternative shift code or create a lieu day for Employee Name'
This is because the lieu day status created in HR for an employee has been set to 'Taken'.
Resolution
The Lieu day status needs to be changed from 'Taken' to 'Available' within HR. Once the correct shift code is used ('lieu day') the HR Lieu day will be automatically updated to 'Taken' upon submission of the Rota. This will allow the user to complete the day and submit to payroll.
- Go to HR > Employees > Employee List > search for and select Employee
- Use the employee side menu and go to HR > Employee HR Info > Lieu Days
- Select the Lieu day and then from the Status drop-down, select Available
- Then select Save
