Overview
Employees may be provided with assets such as laptops, phones, uniforms, or tools to carry out their tasks. Keeping track of these assets ensures accountability, prevents loss, and helps maintain proper use and availability of company resources.
This article provides guidance for creating assets in the HR module and assigning them to employees. The system allows for the creation of asset 'types' (such as 'mobile phone'). Descriptions can then be added to these types (such as 'make', 'model'), which can then be filled in when assigning to employees.
Asset Management
In this example, a new asset type 'Mobile Phone' will be created and assigned to an employee.
- Go to HR > Administration > Global Settings > Edit Asset Management
Any existing asset types will be listed on the left side of the screen.
- To add a new one, select Create Asset from the top-right corner
- Enter an Asset Name and add up to 10 Descriptions, then Save
Assigning Assets to Employees
To assign an asset to an employee:
- Go to HR > Employees > Employee List > search for and select the Employee
- Then use the employee side menu and go to HR > Employee Info > Asset Management
Any assets already assigned to the employee will be displayed, and the newly created asset will also be available.
- Tick the box next to the newly created asset (in this example, Mobile Phone)
This will reveal the 'Descriptions' entered earlier.
- Fill in the fields as required (including dates), and then Save
Deleting an Asset Type
- Assets can be deleted from HR > Administration > Global Settings > Edit Asset Management (see Fig.4)
However, once an asset has been assigne to an employee, its type cannot be deleted, and 'N/A' will be displayed (again see Fig.4).
