MacromatiX: Mobile Safe Count

Overview

MacromatiX Mobile Safe Count is a critical step in effective restaurant cash management procedures.

An efficient and regular count of the cash in the Restaurant safe improves the accuracy of the cash float. Counting the safe cash regularly, either with each shift or at changeover, helps errors be identified and investigated quickly and easily. 

Mobile Safe Count allows a Manager the flexibility to move to a secure area of the Restaurant to count cash, taking their mobile device with them to enter in amounts and authorise the count with a witness. 

MacromatiX Mobile Safe Count helps the first step in a restaurants Cash Management process to be simple & quick for a successful operational day. 

  Best practices for Safe Count  

• The contents of the safe should be physically counted with each shift start & changeover.
• MX recommends the use of an Authoriser and a Witness field, for improved accountability. 

  Steps

• Log into the MacromatiX Mobile site directly on a mobile device and from the Menu select Cash Management (Fig.1)
• Select Safe Counts (Fig.1)

The Counts page will appear and default to the current date. 

• Select the date or use the arrows to choose an alternate date to view (Fig.2)

A list of shifts will appear collapsed.

• To expand one shift, select the down arrow and the shift panel will expand to show editable cells. (Fig.3)
• To expand all shifts and see the editable cells, select Expand all. (Fig.3)

• Select the blue Change Fund label and a pop-up panel will appear. (Fig.4)

• Enter in the quantities for each denomination and the totals will be calculated in the VALUE column. (Fig.5)
• Select DONE to save the amounts and close the pop-up.

• Enter in any other funds that count toward the total restaurant Safe Count. These funds may be located in the registers, loose coins, or in the form of vouchers or gift cards. (Fig.6)

• On the right side of the page, the COUNT TOTAL will show the total of all entered amounts. 
• If there is a variance between the Expected Balance and the Total Count, the Variance amount will appear shaded RED. (Fig.7)
• To understand the calculation for the variance, select the i symbol. (Fig.7)

If there is no variance, the cell will shade green. (Fig.8)

• Select SUBMIT to confirm the shift safe count amounts. (Fig.9)
• Select SAVE if you wish to return to the count later. (Fig.9)
• Select CANCEL if you do not want to save the amounts. (Fig.9)

When SUBMIT is selected, a Complete Count pop-up will appear.

• Enter in any Comments if required. (Fig.10)
• Enter in the authorising Username and Password. (Fig.10)
• Select AUTHORIZE to confirm (Fig.10)

The authorised Safe Count will now appear collapsed with a green tick (Fig.11)
