Transfer of PAYE - keeping an employee historic record

    Hi Caroline Bethell

The employee must be terminated and rehired if moving PAYE. This is to ensure that HMRC receives the appropriate information and does not duplicate the employee records.

Holidays and absences can be manually transferred to the new employee record, and the employee will retain their accurate length of service, however the employee will not be able to download past payslips under the new Fourth Account. They will have approximately 90 days to access past payslips/ tax documents from their former Fourth Account.

More information can be found via the following links:

WFM UK: HR: TUPE Transferring an Employee – Fourth & HotSchedules Customer Success Portal

Engage: Logging into a new Fourth Account after a PAYE Transfer in the Fourth App – Fourth & HotSchedules Customer Success Portal

Fourth can help if you have a large number of employees to transfer at one time. Please reach out to the customer care team to get your project scoped, if this is the case.

    Many Thanks

thanks Louise Wilson - what are the implications if the employee is hired on the new PAYE as a new starter rather than being re-hired?

    Hi Caroline Bethell

If the employee is hired as a new starter on the new PAYE, the customer would need to re-enter all of the employee HR information again. The former employee records would still need to be terminated. HMRC would still need to know the dates that the employee stopped being employed via the old PAYE and when they started working at the new PAYE (TUPE date).

    I hope this helps.

    Many Thanks
