Event Pools
Managers can now create Event Pools for one-time events, such as private parties or buyouts, allowing tips from selected checks to be distributed separately from the location's standard tip pool.
Event Pools provide flexibility to select which checks contribute to the pool, choose which employees receive the tips, and determine how those tips are distributed without affecting the standard tip pool for the location.

Availability
Event Pools are not enabled by default and can be configured by customer administrators. No Support request is required.
Who Benefits
Managers responsible for creating and managing tip pools for one-time events.
Permissions
Users must have the appropriate Tip Pooling Manager or View Tip Pooling permissions based on the actions they need to perform.
Create an Event Pool
Event Pools are created from Tip Management > Tip Pools > Create Pool.
When creating a pool, select Event as the pool type. Event Pools are intended for one-time events that should be handled separately from the location's standard tip pool.

Creating an Event Pool includes five steps:
- Select Pool
- Pool Details
- Contribution
- Distribution
- Review & Finish
Pool Details
Enter a name for the event and select the location where the event occurred.
Pool names must be unique for the selected location.
Contribution
Select Tips as the contribution type, and then select the checks whose tips should contribute to the Event Pool.
Use the Business Date to locate closed checks for the event. Available filters can be used to narrow the results by:
- Check ID
- Check Close Time
- Check Owner
- Revenue Center
Each selected check contributes 100% of its eligible tips to the Event Pool. A check that has already been assigned to another pool cannot be selected.
Distribution
The Distribution step determines which employees receive the Event Pool tips and how the tips are divided.
Select Employees
The employee list initially includes employees who worked on the selected business date. Use Select Employees to add or remove employees from the Event Pool.
Select a Distribution Method
Choose how the Event Pool should be distributed:
- Hours Worked — Distributes tips based on the number of hours each selected employee worked.
- Equal — Divides tips evenly among the selected employees.
Apply Job Code Weighting
If certain roles should receive a different share of the pool, select Set up manually to assign tip percentages to job codes for the Event Pool.
If no weighting is needed, select No Job Code weighting.
You can also determine how tips are handled when no eligible recipients are available by returning the tips to the contributor(s) or redistributing them among other eligible recipients.
Review and Finish
The Review & Finish step provides a summary of the Event Pool configuration before it is saved.
Once created, the Event Pool appears on the Tip Pools dashboard and is identified as a One-Time pool. The dashboard displays information about the pool, including its status, contribution type, total tips, number of checks, distribution method, and effective business date.
Manage an Event Pool
From the Tip Pools dashboard, use the actions menu for an Event Pool to Edit or Disable it.
Editing an Event Pool returns you to the configuration workflow, where you can make the necessary changes.
Disabling an Event Pool releases its associated checks so they can be used in another eligible pool.
After creating, editing, or disabling an Event Pool, tip calculations must be run manually from the Tip Pooling Report for the applicable location and business date.
