The Change
The Absence functionality has been changed to improve the way system currently manages linked periods of absence.
There are 4 key areas addressed in this release which are explained in more detail within this document:

How to Determine The Absence Version in Use
Log onto the portal: HR or Payroll > Employees > Employee List > Select an Employee > Employee Info/Employee HR Info > Absence.

Retaining Qualifying Days for Linked Absence
The qualifying days used for the first PIW (Period of Incapacity for Work) absence needs to be recorded against each linked absence as all linked absences must use the same qualifying days. The system should not use recalculated averages for days worked, but checks back to the first linked absence and uses these days for qualifying days.
Displaying Correct Number of Waiting Days When a PIW Formed
The displayed value of Waiting Days has been updated as often weekend gaps in an absence would not be considered by the system and waiting days would be displayed incorrectly.

- A new column ‘SSP Paid’ has been added. The value displayed is updated once the payroll is closed.
Holding the Average weekly Earnings Against PIW
When the Average Weekly Earnings has been calculated for the first PIW, this figure needs to be retained against this absence and once another PIW is formed which is linked, the system will not recalculate the AWE, but use the Average Weekly Earnings from the first PIW linking absence. The AWE figure is carried forward to each linking absence.

- The included the ‘Weekly Rate for SSP’ at the foot of each record. This will help to determine an employee is entitled to SSP.
Note
In order to protect the system from any retrospective impact from the above changes, the new functionality calculations will be initiated from the deployment date of the 21st August. Any previous absence records will not be impacted by this change although the new screen will immediately become available.
