Overview
A statement of Earnings is a document used by employers and employees to ensure transparency, accuracy, and compliance with financial and legal requirements. This article shows how to obtain the following information from an employee's 'P11 Details' screen in the Payroll module.
- Employee Name
- NI Number
- Date of Birth
- Company Name
- PAYE Ref
- Dates Employed
- Tax Year
- Gross Pay (previous employment and current employment)
- Total Tax (previous employment and current employment)
- Tax Code
There is a Statement of Earnings template at the end of this article, which can be copied/used as needed.
P11 Details
- Using the side menu, go to Payroll > Employees > Employee List > search for and select an employee (likely that Former is selected for Employee Status)
- Next, use the employee side menu and go to Payroll > Employee Payroll Info > P11 Details

Here, the employee's name, date of birth, NI Number, and termination/start dates are displayed. The employer name and PAYE reference can also be seen here.

- Select the relevant Tax Year appropriate for the Statement of Earnings requested. For example, between April 2023 and March 2024, select 2023/2024
- Select View Summary And Totals from the top-right corner

Pay and Tax Total figures will appear in the bottom left corner. Use these figures to complete current and previous employment totals.

- Then, from the top right corner, select P11 Report

A new window will open. The tax code used in the Statement of Earnings can be obtained from here.

It is made up of:
- The 3 numbers of the' Tax District and Reference' from the P11 report and the 'PAYE Reference' (from the 'P11 Details' screen), separated with a forward slash
- Using the example shown in Fig.6 and 2, the code would be: 120/ABC123
It is important to use the Tax District and Reference code from the P11 report, not the code in the portal. The Tax Code in the Portal is the latest one and may not be applicable for the period for which the Statement of Earnings has been requested.
