Overview
Any employer with 250 or more employees on a specific date each year must calculate, submit, and publish their gender pay gap data. This is essentially the average pay difference between men and women in their organisation, including bonuses and pay distribution.
The guidance below shows how the required information (see full details here on gov.uk) can be obtained from Fourth's Workforce Management solution.
Fourth Analytics
If employees are paid through Fourth's Payroll module, all their pay information will be available for export via Fourth Analytics. This is the most efficient way of exporting the data, giving a holistic view of all employee pay data.
For more information about Fourth Analytics, please liaise with your Fourth contact.
Payroll Module
Employee pay information can be obtained from the Payroll module via various reports, which can be collated in Excel as required.
HMRC Reconciliation Report
- Use the side menu and go to Payroll > Reports > Exports > HMRC Reconciliation
This shows employees' salary, gender and their total pay to date. However, it does not give a breakdown of payment types.
Payroll Summary - Year to Date
- Go to Payroll > Reports > View Reports > Payroll > Payroll Summary - Year To Date
This report details key pay information regarding employee pay for the year to date. Shows different payment types and deductions.
Custom Reports in Payroll
Custom reports can be built to report on specific payroll information for the past year, such as bonuses. Filters will need to be added.
