Functionality Queries
Hi Team, please could you help with the below queries:
-
We would like to upload details of Disclosure and Barring Service (DBS) Checks to the system, and to set expiry dates with alerts. Is there functionality in the system to achieve this?
-
Are we able to bulk upload training records ? For example, if we had a spreadsheet detailing the dates employees had completed a specific training session - such as sexual harassment training - could we easily do a batch upload?
-
For training records, can we record expiry dates, and set alerts to manage training through the system?
- For our Right to Work checks, we utilise Share Codes. We have noticed that on the system there is no option to enter an expiry date of individual's Right to Work as obtained using the Share Code process. Is there a way to add this? If so, can an alert also be created to alert us to a soon to expire Right to Work?

Good morning Rosie,
Thank you for your post and I hope you are well!
1. There is current functionality which allows for the upload of DBS documents. This can be found via the following pathway:
HR > Administration > Global Settings > Employee Settings
However there is no current functionality for alerts regarding the expiry of these documents.
2 & 3. Unfortunately, bulk uploads or expiry alerts are not current functionality within the Fourth Training Courses feature.
4. While the system does allow for reminders and alerts for expiring right to work documents, currently there is no way to input an expiry date for share codes.
As a lot of the questions above relates to functionality which is not currently implemented,
I'd advise posting this on our 'Ideas' part of the Customer Success Portal using the below link (you will need to be signed in):
https://help.hotschedules.com/hc/en-us/community/topics/360001928991-Ideas-WFM-UK
This will then be reviewed and further communication will be through your post on the Customer Success Portal.
Thank you and I hope this helps!
