We use an external payroll company so cannot use your checkboxes to do with tax code or student loan.

Hi @Cristabelle Metcalfe
1.To remove the P46 screen you would need to turn off the payroll module completely but this is not recommended as it will limit the functionality for absences. (You cannot use v2 without the Payroll module enabled).
2. The report for Comments is in HR > Reports > Employee comments
When running the report it can be exported to excel by selecting Text file. and the report can be run by comment category. I would suggest setting up a comment category called Employee Starter info
Hope this helps

Our Payroll company have come back with:
I have checked but not able to see the “Employee Comment” tab in HR > Reports as per your mail, please see the snap of fourth site from Paperchase log in for the tab which we are able to see in HR tab > Reports :
I have also extracted the excel sheet but no details shown for the same in weekly employment summary.

Hi @Candice Hernandez ,
Thanks for the extra information. I can see from the screenshots you have provided that you are in the 'Exports' section of the HR module. The Report that you are looking for can be found in the 'View Reports' option from the Reports dropdown.
I hope this helps!

- This issue is while extracting the report, in the excel sheet has all of the information for all employees since 2015 (current + former), including personal comments (sick days, grievances, holidays etc), so we a) need it by date range (report need to pull out by entering date range only) and b) pull the information only which is required.
- The tax code details must be frozen once it’s been added on Fourth, with the solution you have provided, anyone can edit the Tax information. Once we use the details as per Fourth in our records, only Payroll should be able to update the records based on HMRC notice only for TAX & student loan.
- Is it possible to pull out the information in one report only (i.e. “weekly employment status summary”) because Payroll needs to extract two different report 1. weekly employment status summary- for employee’s details/changes/update 2. Employee Comment – which is containing tax code & student loan details.
Thanks,

Hi @Cristabelle Metcalfe,
I am still waiting for an answer on this? Do you have any updates?
Thanks,

Hi @Candice Hernandez Please can you confirm that you are running the Comments report that is HR > Reports > Employee Comments
You may need to run the report and remove any sensitive information if you are using comments for the reasons you mentioned above.
With regards to the Tax code, the tax status can be changed via the employees record, Users should be trained that they should not use this.
Unfortunately it is not possible to have these reports as 1. They do have the employee number so a V look up can be used to combine the reports.
Hope this helps
Kindest

Thanks fo the response.
Users are aware they cannot use this option but for security we do not want to risk it.
How would we go about looking into switching on the payroll portion? The only thing we would want to use in Payroll would be enabling the original issue to be solved.
Thanks,

Hi @Candice Hernandez,
Apologies for the late response. If you are looking to have the Payroll module switched on you should contact your Customer Success Manager who can talk through the options with you.
Have a great day!
