Entering an absence Self Cert - why do rota days not pull through

This is a frequently asked question!

The reason these do not pull through is there are several instances where an employee may not be on the rota.

  • In practice, when an employee phones in sick the first thing a manager is likely to do is check the rota and reallocate the shifts to ensure they are covered.They could entered the absence at a later date if service is likely to be affected. When they come to enter the absence the shift has been removed. A note of the days moved should be taken to enter into the absence.
  • Also not all salaried employees are included in a rota.

 

There is a global setting to display the days worked in the past so that users can see what days the employee worked historically.

This is in HR > Global settings > Edit Default employee settings > Show Rota days usually worked on Absence form?

Hi @Debbie Thomas​  yes we do have that function showing results of previous shifts worked however from an audit perceptive I have to open Fourth twice and flick between screens - This has such a huge bearing on SSP calculations we are checking every instance of absence ! It just a bit of a pain and would be good to have the option to pull through the data.

Hi @Sharon Harkins​ 

For auditing it may be easier to use the Forecast v Actual v Paid - Daily export in Rotas

 

This will show

What the employee was scheduled to work, what they have been recorded as working and what their T & A clock times.

You can then cross reference the absence analysis with a v look up.
