Unable to close the rota at the location if employee with 0 hours

Thanks Gary
Would I be able to at least set up an alert once the rotas are being closed.?
Hi @Justyna Zak
There is an alert that can be set up when the week has been completed. To set this up go to:
Rota > Administration > Alert Set Up > Create New Template
Name the report, set the Frequency and Save.
After you’ve saved it, you’ll be able to Assign User or Job Titles for this alert to go out to. In Assign Events, the Week is completed option will send an alert that all seven days on the rota have been completed.
The Rota Status Summary Report will also provide information on which days are complete throughout a rota week. I hope that helps!

Hi @Justyna Zak ,
Thanks for your post, it’s a great question!
The system doesn’t have the functionality to prevent a rota being closed at location if there are employees without hours, holidays or absences. As mentioned the global setting will prevent a rota being submitted if this is the case however.
One option which may make it easier to manage this process, is to remove the “Closed at location” status altogether. This will ensure that the site managers would have to ensure the employee has some form of hours, holiday or absence before anything can happen after completing the days.
The “Closed at location” option can be removed by a System Administrator at your business, so I would advise speaking with the system admin to look at whether this could work for your business.
I hope this helps,
Gary

Thank Gary
What does 'Week is completed' will alert me about?
Does it alert me if there is employee with zero hours or just that each day on the rota was completed?
Thanks
Justyna
Hi @Justyna Zak,
No problem! 'Week is complete' will alert a user that the rota week has been marked as complete across the entire week and for all divisions within the location. The alert will be sent regardless of the hours, holidays or absences on the rota.
I hope that makes sense! Let me know if you need any further information!
Best,
Gary
