Disabling the bypass shift validation setting and removing the HOL shift type within People System

    Hi @Silvio Pelizza​ ,

     

    Thank you for your response.

     

    Could you please advise as to whether these changes would have any detrimental impact on previous entries which I would need to be aware of or if it is safe for me to simply go in and change these settings?

    Thank you for your question.

     

    Yes both these setting can be found in the 'Rota Module' Global Setting dependent on access.

     

    Rota > Administration > Global Setting.

    Hi @Hayley Ballinger​ ,

     

    If this is switched off this will not have impact on any historical information, however for any OPEN rotas I suggest that any employees who have holiday through the shift type are corrected as when it is switched off they will all move to the next shift type in the drop down. The best way to combat this is to run the Shift List Report from the Rota module.

    Thank you for your response. The shift list requires a location to be entered. Is there an alternative which I could run for all as I would be unable to run the report for each location.

    There is not another report that would yield this information, so in this instance we would suggest for each location someone runs the report (possibly the location Manager?) and flags any booked in holiday with yourself.

    If you disable the rota global setting Hide default HOL Shift Type from Rotas, this will impact all open rotas, but not the closed. From this change hol will not longer be visible on the schedules. The Bypass shift validation on Rota start and end times setting has no impact on this process, and will not impact the rota, so I would advise leaving this setting alone when you turn off the hol shift type.

    I'm not sure if I made it particularly clear but we need to disable the bypass shift validation on rota start and end times setting.

     

    Would disabling this have any impact which we would need to be aware of prior to disabling?

    hi @Hayley Ballinger​,

     

    We looked into this further and although this will not impact the open rotas if disabled, it is worth noting some additional areas which may be affected. If this Global setting is on, it will override the functionality which flags conflicting hours, and this can result in duplicate hours being submitted to Payroll. To prevent this the Global setting can be switched off(if already on); the result of which is that any NEW shifts created cannot overlap in hours, as the system will prevent creation. If however, there are shifts that have ALREADY been created (and do overlap), the system will not flag these. In this instance it would be best for the Manager for each division to manually check and update if any hours have been given to employees in this format, and update accordingly.
