    Hi Lisa,

     

    If you are looking for a report to show you the actual hours worked by employees, there is an export in the rota module called 'employee hours worked' and you can run that for a number of weeks to see the total hours for your calculations.

    If you then need to update the contracted hours for employees, you can do that in their record or Fourth can help with an upload. However please remember the new furlough functionality uses the FTE hours from the employee's record, or the job title in lieu of the contracted hours.

    Sorry Sophie, but I am unsure how that is going to work, the government guidelines for people who's pay varies is, we need to pay them the higher of the same period last year, or an average of the last 12 months. The hours worked report does not include holidays as 'hours', so if I looked at a month in isolation, an employee may have only worked 40 hours but have 40 hours holiday, so the true hours are 80, not 40 as the report shows me. I have just tried on a flexible employee in one of our properties, and it shows me a weekly average higher than the contract, but we need to understand how that will still fulfill the criteria of higher of the same period last year, or an average of the last 12 months. I also tried with a casual employee, and the calculator gave me 39 hours, when the employee does not work close to 39 hours a week.

    Our product team are working on an export report for employees on the furlough status, this should provide you the information you require. Please keep an eye on the release notes area of Communities for this.

     

    If you are using Fourth Analytics, there is a report that we could add for you, please speak to your Customer contact at Fourth for this and we can get that added to your Analytics.

    We don't use analytics, I keep checking but have not seen the release notes unless I am missing something.

     

    When updating the furlough status for causal employees, it is not reflective of their hours worked like a flexible employee, even though to me casuals are the most flexible employees we have. Is this going to change? I have also noticed the input has changed today, when for example I entered employees yesterday who was flexible but contracted to say 24 hours a week, when you select use calculated it would populate 24, today it populates the average working hours, say 29. Is that going to make a difference? Will I now need to go back and change all employees I did yesterday and prior?

    Also, can you advise on if we can submit the rotas prior to the furlough status being updated, conscious our payroll rota deadlines are approaching fast and we are running out of time.

    Yes, you can submit rotas prior to the furlough status being updated, that's fine.

     

    I will check the above question with the product team. The release note regarding the export will be posted after the bank holiday weekend.

    Hi Lisa,

     

    Our product team has said that the change to the flexible employees was an updated calculation to use their average hours, whereas before this was populating with the contracted hours whilst we finalised the calculation. If you are happy with the contracted hours being used then there is no need to update these hours.

     

    For the casual employees, they now have an average pay amount appearing based on the basic pay from their rotas. We are finishing testing the export and we'll update the community with that as soon as we know a deployment date.

    Thanks Sophie, is there any update? Just really conscious we have thousands of furlough statues to update / redo and our deadline for Rotas is next Friday at 9am with 2 bank holidays where I am assuming no answers to questions on the community? If I could understand the causals, and the change of input for the flexible staff that would be great.

    I still am unsure what difference this will make, will the hours entered drive a calculation in the payroll module?

     

    We had a company restructure in August 2019, which means our employee records are across two different companies for each hotel, will this impact the calculation used for casuals, I have just tested on one employee and the calculation is too low so thinking this might be the cause? I guess it depends if you are taking it from the rota module or the payroll module, as all their payroll information was transferred.

    Hi Lisa,

     

    The hours won't drive a calculation in the rota module, they are there for reporting purposes.

     

    Although I can't ask for specific information to look into this further, the information used is taken from the data within the HR & Rota modules. Our updated article on the average pay calculation, published yesterday, contains details on how to get information from the payroll reporting in case that is better for your situation.
