How to capture T&A clock-in and out breaks in 'break minutes' box?
-
Hi @Alina Simonin
The break minute box is to show breaks that have been calculated by the system based on rules set up in the location. This does not populate from clock in and clock out breaks. The setting to Keep existing breaks upon copy T & A means that if the Copy T & A function is used the system calculated breaks will remain.
You may find the following export in rotas helpful as this will show forecast times v Actual times v the T & A data.
Rota > Report > Exports > Forecast v actual v paid - Daily
Hope this clarifies the functionality for you.

Hi Debbie,
Thank you for the explanation.
Is there a way to capture clock in and out times, so these would not need to be entered manually each time for every single employee (not including location shift set up, for example, shifts being set up without breaks)?
Thank you
Alina

@Alina Simonin
Employees will need to Clock in and out for breaks and this will be visible when they review the shift. Copy T & A can then be used to enter the times the employee has worked.
E.g The employee is forecast to work 0900-2300, they clock in and out for their shift and for a break from 4pm - 5pm. By using Copy T & A the Actual time 1 and 2 will change to 0900-1600 1700-2300. This has inserted the break.
Hope this helps

Hi Debbie,
Thank you for explanation. Unfortunately, at the moment our T&A does not seem to display as you are explaining as I am only seeing clock information in Actual Time 1 field despite employee clocking out and in for break.
Not sure what the issue is. Our teams need to always enter breaks manually.
Please could you advise?
Thank you

Hi @Alina Simonin
In the example below, the employee was forecast for a split shift, This will copy into Actual time 1 and 2. The T & A information is present when employees clock in and out, The site has overridden this entered as 1 shift with a calculated break.
As long as sites are accurately forecasting breaks this will always copy through to Actual. The sites should then ensure breaks are taken at the forecast time.
Thanks
Debbie

Hi @Alina Simonin
This is an example from today. The Scheduled time copies to the Actual time.
The only time that actual time will differ is if it has been overridden.
Going back to your original question, If the employee clocks in and out for breaks as in the example above, Copy T & A can be used to update Actual time 1 and 2 with the clock in information.
I hope this helps
