Rota paid employees - once the rotas are closed/submitted how can we get hours included in NMW, as back pay is not included?

    Hi @Hayley Ballinger @Jade Swindail @Eleanor Cross

National Minimum Wage (NMW) will use hours from the Rota module to calculate an employee’s total working hours. It is essential to record all worked hours for employees on the Rota as this is a HMRC requirement around keeping accurate records.

To find this information in the Payroll module, I would recommend using the ‘NMW/NLW for past periods’ export. This export will pick up Payments and Payment Types if they are not excluded from the report in your Global Settings.

    Payroll > Reports > Exports

For back pay, it is dependent on the Payment Type used to record this. I would advise to run the above export and filter to the appropriate Payment Type.

    Hi @Hayley Ballinger,

You’re right, it is not recommended to rollback Rotas that have been submitted to Payroll.

Unfortunately, these missed hours cannot be added to the Rota in this instance for this reason. As this is a HMRC requirement around keeping accurate records, I would recommend for you to highlight this to General Managers within the business to avoid inaccurate reporting in the future.

    Hi Silvio,

    Thank you for your response.

In respect of hours from the current period, we can rollback to include in the rotas but in relation to a rota period already paid, how would you suggest we complete this as we have been advised that we must not rollback rotas into a period already paid?

    Thanks,

    Hayley
