if I restrict a user to default segment which is their department, will that allow them to only see their account numbers for their department?

Thank you for your query.

 

User & User Group Segments restrict Products only whereas Outlet Accounts restrict the Account Numbers of the Outlets which Users have access to.

 

In order to restrict users to only access their department account numbers:

  • Ensure each User profile only has the relevant Outlet(s) associated
    • Property->User Center
  • Flag only the Accounts against the appropriate Outlets
    • Property->Setup->Accounting->Outlet Account

 

If Outlets have Accounts with Account Cross-Reference numbers which are not applicable to the Outlet GL Account, the users will then be able to access them.

I double checked and the user I was working with today only has Engineering - Ops as her outlet and that outlet is restricted to only Engineering Accounts. However, when she created a product, she can see the entire list of Accounts including the old 4 digit accounts to assign the product to

Accounts are not restricted when creating Products regardless of configuration as Products can theoretically be used in any Outlet against any Account; the restriction comes into play within Maintain Guides & transactions created (PRs, POs, ORs, Transfers, etc.).

 

That being said, the users should as best practice select the standard Account for the Product (i.e. where does it normally get charged) when creating it but then assign to their department-specific Account under Inventory->Maintain Guides.
