Could Fourth introduce a bespoke data retention period for current employees data?

Thank you for the quick response Debbie. I was told the retention periods is only applicable to former employees' data, is this not the case? If someone has been employed with the company for 10 years and still employed, documents can only be deleted from their file manually. Also different documents may have different retention periods. Could different retention periods for different categories of files  (like medical records, disciplinary records, hiring information, etc.) be built into the system?

Hi @Alessandro Giovanetto​ You are correct, the retention periods are only for Former employees.

We will not be able to introduce retention periods on current employees as the categories that are created are bespoke to each customer.

 

With regards to GDPR, there is no issue with keeping this information for current employees if you can show a reason for having it. Most customers want to retain this information for the duration of the employees employment, regardless of how long as it pertains to their employment.

 

If you have any questions around GDPR and what you should and should not keep, I would suggest speaking to your legal department or ACAS.

In your reply to Ruth Cousin your attached a link to 'Appendix B' documents.  one of the bullet items is 'Personal documents'.  Can I check that is anything has been uploaded into the Document Management area?
