How do other customers manage overtaken holiday recovery for leavers?

Hi @Saskia Dykstra

Thank you for your response, however I wanted to know more around how the overpayment is managed once it's occurred.

How do other clients obtain the net figure of the related overpayment to enable them to arrange a repayment plan with the affected employee?

Hi {@005D0000003o3tWIAQ} ,

This is a great discussion to start on the community. Businesses manage this process differently but we can give you some considerations for this process:

  • The Holiday Year to Date report (HR > Reports > View Reports > Holiday Year to Date) could be run on a regular basis, to help ensure that holidays as being managed in line with business processes. For example, I would suggest a ‘business rule’ that perhaps an employee can only take 2 days holiday over what they have accrued, as this is a manageable amount for the business to recover should the employee leave earlier than expected.
  • Employees can be regularly encouraged to take holiday so they don’t reach the end of the year with peak working times (and taking holiday is trickier based on business needs e.g. Christmas). Of course, this is ultimately at the business’s discretion, as especially in peak times as it may not always be feasible to take holiday as it gets accrued.
  • Through Final Holiday Pay functionality the system can auto-recover from the employees final payslip (depending on configuration).
  • Final Holiday in Past Payroll reports can be run to show any holiday payments that have been deducted.

I would consider the above for your business processes. Is there anyone else out there who would like their experiences.

Thanks,

Saskia 🐬

Hi @Simone Yapp

This is an internal process which may differ from customer to customer, we do not have this information.

Would be great if any customers that encounter this issue could post how they manage these situations.

Kind regards

Debbie
