Can we automatically add users to Template Security?

Please advise if we can have our Purchasing Team automatically added to all Templates with the "Create PO" function.   I just found a template that did NOT have our purchasing team on it and they were unable to see two released requisitions.   Users that create Templates do not know to add our Purchasing team to the secured users and that causes hiccups in our operation.   On behalf of Halekulani

Thank you for your query.

 

As a matter of best practice, we recommend to not utilize the 'CreatePO' Template Security access unless there is a specific business process where only certain users have access to Create certain POs to avoid the operational challenge you've described; instead only 'Read' or 'Full' especially on the 'User Security' tab.

Our recommended approach is:

  • User Security tab: only 1-2 additional users with 'Full' access to make changes if the Template Owner is unavailable
  • Outlet Security tab: Ordering Outlet (all Users with access to the Ordering Outlet) as 'Read' access
  • Property Security: blank / no selections

Further to maintaining Templates, we also recommend Property Administrators (e.g. IT, Cost Control) & usually the Purchasing Teams are marked as 'Template Administrators' to be able to make the aforementioned updates.
