ESS Release Note - Leavers' Access   What’s Changing?   New capability that will allow employees that are no longer working for a company to have restricted access to Employee Self Service (ESS) so they can view their HR data, past rotas and past payslips, and in the near future, P45s and P60s.   Release Date: 30th November 2018   Reason for the Change   To reduce overheads of time spent by managers as well as HR staff to provide important employee information to ex-employees.   Please comment below if you have any questions on this.   Best, Paul Fourth

    Our employees access ESS through Fourth Engage. Does this mean that leavers will still have access to Engage after being made a leaver or is there another way for them to still access ESS, without still having access to all Engage information?

    Once the employee is made a leaver, they will still be able to access the 'ESS' app for a limited time, but they would not be able to see the Engage feed, or be able to access any of the other options from the table. They would lose access to holiday functionality through ESS and the ability to see their schedules, but can still pick up their payslips/P45 option.

    Hi @Ruth Cousin​,

     

    Apologies for the delay. As per the Release Note this is defaulted to 90 days:

    '90 days has been selected as a default period to allow businesses time to produce and post P60’s for employees that leave in April.' However, if you require this to be adjusted this can be discussed with Fourth and accommodated.

    Hi, 

    Is there a way of adding a document into this for all employees to access once they are a leaver that tells them how to access their documentation i.e. password format and that has a link to an exit interview that we host online? Currently we want our leavers to complete this process but cannot see a way to automate this other than to supply something in their documents called 'important leavers information' - please tell me if this is possible. Emily

    Hi Emily

    We are unable to add any external documents into the 'My documents' area of ESS. This would purely show payslips and tax documents that come from the payroll module if you use payroll.

    However, you could add in a connected app that links to a PDF that you are hosting and make this app visible to terminated employees so that leavers would still be able to see it for the 90 days after terminated that they have access to the app. One thing to note is that this app would also be visible to all current employees.

    Connected apps would need to be created for you by Fourth, if you contact the Customer Care Team and let them know that this is something you would like to have, they will be able to raise it for you.
