Hi Sophie,
All departments need to close their weekly rota.We have some people who were furloughed from 23rd March.All people are salaried.What would be their status on rota module when closing rota,working,off?There is no furlough option.As furloughed status is not reflecting rota,we don't know how to submit it?

Hi Sam,
Thanks for the follow up questions! Hourly paid employees that you have furloughed won't have any hours coming from the rotas, so in order to pay them you'll need to work out their average hours for the period and upload these into the payroll module, just like you would an additional payment usually. Your payroll specialist in the bureau can help with the loading and the template, but you will need to work out the amounts and provide the data.
If your salaried employees are receiving 80% of their salary, but this is not being capped at £2500, then you can create a new payment type with a calculation within it to adjust these to 80%. Hi Marta,
There's no need to keep the rotas open, or create a new rota if you have no employees to schedule. You will only need to complete each division for each day and submit to payroll which is a lot of admin for you if no one is scheduled.

Sorry I have another query. We have some employees who earn more than £2,500 per month, as a business we have agreed to top up their salary so they still receive 80% of their salary to make this fair. How will this need to be processed?

Can I please just confirm what you mean when you say hourly paid employees pay will need to be uploaded to the payroll module? Is this something for our HR teams to do or will the bureau be doing this?

Many thanks for your questions.
If you flag an employee as furloughed, at the moment there is no change in the rota module. Our first step was to release the flag in the HR module to enable us to build more functionality off the back of that.

If you are furloughing hourly paid employees, you can set their status to furlough in the HR module, and their pay, once calculated, will need to be uploaded to the payroll module. We are working on an export that will help you with this information.

Hi Marta,
Perhaps you would be able to check with your auditors what they may require in this circumstance? Our furlough status has not been designed to show on the rotas, so if they did need you to show an employee is on furlough on the rota, you could create an absence type to reflect this.

Thank you for your reply.
Please be advised that we need to close rota and submit timesheets to Accounts for Audit purpose. This means that our auditors require us to have each department's rota closed with correct information. It is important to have it right (closed rota with correct imformation) and since some associates were furloughed and the " furlough" status is not referlecting on rota, we don't know what option to choose on rota module. The only option we have, it is "on", "off" or "scheduled time". Please advise what do we do in this case?

Hi Marta,
If your salaried staff are furloughed and you have no hourly paid staff on the rotas, then you do not need to submit this to payroll; salary payments will feed through to payroll regardless of the rota. If this has already been opened you can either complete all the days/divisions and submit this in order to tidy it up, else you could leave that week's rota open, or delete it out of the system.
