Set or Preferred Schedules

    Hello Bo,

     

    Thanks for contacting HotSchedules! I know you would probably run into issues if you create an assigned template for these users, since once you apply that, you cannot apply another template to that week or copy whole schedules onto that week.

    The closest feature is called "Special Events" and I've added it to your profile. This is now an option under the Menu in the Scheduler. These act like "mini-templates" in that you can just make a few shifts in them, then apply it to a schedule. Unfortunately these can only be applied to one day at a time, so I am not sure if this is something that brings much value to you.

    I've also let our product team know about this desired functionality. What I would envision is that there can be template types which you can apply to schedules after they have been started. There'd need to be some functionality built in to resolve any overlapping shifts, but we have this idea submitted.

    We also would like to make set schedules for our Staff.  Would using Auto Scheduler be helpful?

    Hi Jules, auto scheduler will not help here. What I'd recommend if all your employees have set schedules is to use the copy and template functions. 

    Step 1. Create a schedule exactly as you want and then make a template of that schedule selecting the option "assigned". and give it a name that includes the date of the next time that template should be applied. For example, I create my schedule for next week today and get it all perfect. I create a template of that schedule and name it "use for sch week July 2"

    Step 2. When creating the schedule for July 2, use the template from above, update any shifts for new employees or changes to permanent days for existing. Save that as a template and name "use for sch week July 9"

    Repeat these weekly. If you don't delete old template then by the end of the year, you should have 52 weeks worth. The reason for the template rather than just copying from one week to the next is the current copy functionality includes shift swaps and pick ups as these get added to the schedule once they're approved.

    I was referring to a set schedule for a single employee, but I think your idea would work for that also.  I could make a 'Nick Nolte' template and apply that each week.  I would just have to assign those shifts before I apply more templates.

    The ability to have a "Preferred" tag (both prefer OFF and prefer ON) the Availability would be extremely helpful.  For instance, a server might have open availability, but prefer to work doubles Monday, Wednesday, Friday Lunches and Saturday dinners.  They are "available" Sunday, Tuesday, and Thursday but prefer not to work those shifts unless nobody else can work them.

    We have tried a few different work around options (ex: listing "partially available" on shifts they'd prefer not to work), but those work arounds just haven't worked well.
