- Is there a cost associated with the app?
- No - the app is available to all Fourth Workforce Management (WFM) customers free of charge
- Is the app available to Employee Self Service (ESS) customers as well as Engage?
- Yes - all WFM customers who have a Fourth Account will have access to the app
- Do employees need to download the app separately?
- No - the app will appear as a connected app within the Fourth/Branded app – as ESS does
- What about employees who don’t have a Fourth Account?
- Fourth Accounts can be created through the Fourth Account Management screen in HR & Payroll

- Is the app available to all employees or just those scheduled on a rota?
- Anyone with a Fourth Account will have the app available and be able to complete the survey. The app is activated via a global setting, making it available to all employees at all Locations. Any new starters will automatically have the app available once they download the Fourth/Branded app
- An employee will need to be assigned to a Location rota in order to be able to view their Health Status
- Will there be any reminders or notifications sent to remind employees to complete the survey?
- Yes - push notifications will be sent 1 hour before the start of a shift, provided an employee is a) scheduled to work that day, b) has not opted out, and c) has not already submitted the survey
- Will we still receive push notifications with ESS or do you need to have Engage?
- Yes - push notifications will still appear with ESS but ‘in-app notifications’ can only be received through Engage
- How will an employee who opted out/didn’t give consent, opt back in? And vice versa.
- When an employee opts out, the app will close and take them back to the applications screen/feed. They can reopen the app and opt in at any time - the consent screen will appear each time they open the app unless they have already given consent
- There is a button to 'Stop sharing health status' within the app which can be activated any time. Using this button will cause the app to close and a new consent screen will appear each time they open the app again
- Will managers see a difference between who has opted out and who has just forgotten to complete their survey today (so managers know who should be completing it)?
- Yes - someone opted out will be specifically highlighted as such on the Heath Status screen
- Are the survey questions customisable?
- No - currently the questions are fixed and set in line with NHS England guidelines
- The questions will be updated in line with NHS England as and when required
- Who can see responses to the survey questions?
- Nobody - survey responses provide a Health Status of ‘considered safe to work’ or ‘considered not safe to work’. Only the Health Status will be visible
- Can an employee see their own Health Status once they have completed the survey?
- No - not at the moment. This is currently in review for development
- Will a manager receive any notification if an employee is considered not safe to work?
- No - not at the moment. This is currently in review for development
- Where is the Health Status of an employee shown?
- The Health Status is displayed in a new screen which can be accessed from an icon on the main rota/schedule page. The new screen will show:
- Employee Name
- Employee Number
- Employee Phone Number
- Employee Main Job Title
- Employee Shift start and End Times(s) or None (if the employee is not schedule to work)
- The page will display all employees in that Location/Department (excluding any employees who are Absent or on Holiday) All employees who are scheduled to work that day will be listed first.
- Health Status will only be visible for current or past days
- Can anyone see the Health Status?
- Access to view the Health Status is permission-driven and should be assigned by the customer once the app has been activated. Details on how to do this will be emailed along with confirmation of activation and are also provided on the Community here

- The Health Status will be visible for all employees and divisions that the user has access to see on the rota
- Will a Health Status of ‘considered not safe to work’ feed through to the rota and remove shifts?
- No - if an employee is considered not safe to work they should follow existing company absence guidelines
- Can you see an overall view of the Health Status of the shift?
- No, not at present - this is currently in review for development
- How do you view the Health Status of anyone who is not on a rota i.e. central HO and field-based employees?
- There is a setting in HR & Payroll which can add employees who are not currently on a rota to a rota in their Location
- It is possible to add anyone visiting sites to a rota through multiple employment if you wish to be able to trace which employees have come into contact with one another
- Can an employee submit the survey multiple times in a day?
- Yes - the survey can be completed multiple times. The latest submission will form the Health Status shown. There is a refresh button on the Health Status screen to ensure the latest data is available
- Can I see how many times an employee has submitted the survey?
- No - currently this data is captured but not displayed. This is in review for development
- Can I see the Health Status of employees across multiple Locations?
- No - currently, access to view the Health Status is only visible through the schedule screen in each Location. But this is currently in review for development
