From the Workflow Manager screen, you can create new Workflow Items (A), view a comprehensive list of the Workflow Items for your entire company (B), view a list of Workflow Items and the stores assigned to each (C), or view a list of stores and the Workflow Item assigned to each (D).
To create a new Workflow, click Create in the upper, right-hand corner of the Configuration screen.
The New Workflow Item modal will walk you through the steps required. The first step is to select a Workflow Type. Workflow items can be one of three types:
Custom Task List - Clicking this option will take you to a list of customized Task Lists. Please see the Task Management section of this document for more information on how to create a Task List.
HotSchedules Product - All of the HotSchedules products your company uses will be available to select by clicking this option. For example, if you want your managers to use the Inventory tool every morning, you would select Inventory for this Workflow item.
External Link - Including external links as Workflow items helps save time for your managers. Need them to set the TV schedule in the dining room for each football game on Sundays? You might want to create a www.nfl.com Workflow item.
The modal will change depending on the Type you choose. For example, if you choose the Custom Task List type, you will be given a dropdown to select which Task List to select. If you select the HotSchedules Products Type, you will be given a dropdown to select the product.
No matter which Type you select, you have the option, but are not required, to re-name it. This will allow customization for specific stores.
The next step in the process is to select a timeframe allowed for stores to complete the Workflow Item. In other words, selecting the Week option will display the Workflow Item for store-level managers for one week. You will also have the option to disable the Item or require a Follow-up.
The final step to creating a new Workflow Item is to select the active date range and recurrence. This will determine when the Workflow displays for managers and how often it occurs.
Once you click FINISH, the Workflow Item will appear in the list with the rest of the Workflow Items.
